Position Summary
The Customer Service Representative (CSR) serves as the first point of contact for clients. This role is responsible for providing outstanding client service, managing appointment schedules, processing payments, and ensuring a smooth and positive experience for every visitor-both human and animal.
Core Responsibilities
Client Relations & Communication
- Greet clients and patients with warmth and professionalism
- Answer phone calls, schedule appointments, and triage inquiries
- Provide accurate information on services, fees, and policies
- Support clients with check-in / check-out procedures and follow-ups
- Clearly explain estimates and discharge instructions under DVM direction
Administrative & Workflow Support
Maintain up-to-date patient and client recordsProcess invoices, payments, and depositsAssist in preparing daily reports and client remindersCoordinate prescription refill requests and pickup timesCommunicate with team members to ensure smooth patient flowTeam & Training
Participate actively in staff meetings and ongoing trainingSupport fellow team members during high-volume or urgent periodsUtilize our online training portal to complete onboarding and develop skills continuouslyQualifications
Required :
High school diploma or equivalentAt least 1 year of experience in a customer-facing role (veterinary or medical experience preferred)Strong multitasking skills and a calm, professional demeanorExcellent verbal and written communicationComfortable using computer systems for scheduling, billing, and patient recordsPreferred :
Experience with veterinary PIMS softwareFamiliarity with veterinary terminology and protocolsWork Environment & Requirements
Ability to stand for long periods and lift up to 40 lbsMust be available for weekday shifts and occasional weekends or holidaysComfortable working in a fast-paced, animal-care environmentWhat We Offer
