Guilford Technical Community College ( GTCC ) is currently the fourth largest of North Carolina’s Community College System’s 58 institutions. Under the direction of the Director of Instructional Support Services and Special Projects, the Curriculum and Instructional Systems Analyst provides complex coordination and analysis of curricular and other related instructional processes to ensure compliance with college, state, and regional accreditation policies and procedures. Ensures the accurate maintenance of course and program data files in multiple database locations and produces and prepares and updates the official college catalog. Manages the database for the faculty credentialing process. Serves as a resource to the instructional division on process and interpretation of technical information.

Duties / Functions

Curriculum Maintenance

  • Ensures the accurate maintenance of course / program databases in multiple locations, i.e. Colleague Student Information System, Curriculog (curriculum management software) and Student Planning (advising software)
  • Coordinates workflow, tracks progress and ensures completion of curriculum proposals through development and implementation of high-quality processes.
  • In coordination with the Director of Instructional Support Services and Special Projects, evaluates and analyzes new and revised course / program proposals to ensure compliance with college, state and regional accreditation guidelines and practices.
  • In collaboration with the college Curriculum Committee chairs, prepares materials and meeting agendas for review and approval.
  • Coordinates, reviews and submits new curriculum and curricular changes to the North Carolina Community College System Office ensuring accuracy of data.
  • Ensures data integrity between the student information system, Colleague and the college catalog.
  • Maintains complete files and updates records of all current and obsolete course- related materials, course and program approvals, and miscellaneous course information.
  • Serves as the software owner for Curriculog and Acalog.
  • Provides functional and technical oversight to faculty and staff involved in curricular processes.
  • Maintains a database of articulation agreements with 4-year institutions ensuring they are reviewed and revised on a regular basis.
  • Maintains files of all programmatic accreditation documentation and Instructional Service agreements.

Catalog Maintenance

  • Prepares, edits, and coordinates narrative catalog material for publication.
  • Coordinates and processes course and program information for the production of the College catalog; reviews for consistency of practices and adherence to state guidelines.
  • In coordination with Marketing, adheres to style guides and develops an attractive, user-friendly college catalog.
  • Curriculum Faculty Rosters

  • Develops / enhances processes for documenting faculty credentials upon hire to ensure consistency and compliance with college procedures and regional accreditation standards.
  • Analyzes and updates existing credential rosters for expiring licenses and certifications.
  • Maintains the Watermark module for faculty credentials.
  • Reporting and Analysis

  • Provides rigorous analysis and problem-solving strategies for complex Office of Instruction issues.
  • Compiles data for reports related to Office of Instruction projects.
  • Training and Support

  • In coordination with the Director of Instructional Support Services and Special Projects advises, assists, and trains academic administrators, department chairs, directors, coordinators, and administrative assistants on Office of Instruction processes and procedures.
  • Participates in the implementation of new systems or processes including application, test, and conversion.
  • Provides back up as needed for other Office of Instruction employees.

  • Education Required

  • Bachelor’s degree from a regionally accredited post-secondary institution.
  • Education Preferred

  • Master’s degree from a regionally accredited post-secondary institution.
  • Experience Required

  • Three years of experience directly related to the responsibilities outlined in this job description to include coordinating and analyzing complex databases.
  • Experience with integrated higher education database systems (i.e. Colleague or Banner).
  • Experience with software applications such as Microsoft Office.
  • Experience with the online catalog management systems.
  • Experience developing workflows and procedures for complex processes.
  • Experience Preferred

  • Greater than three years of experience directly related to the responsibilities outlined in this job description to include coordinating and analyzing complex databases.
  • Experience with curriculum management systems, e.g. Curriculog
  • Experience with education data management systems, e.g. Watermark
  • KSA Required

  • Ability to implement multiple projects simultaneously.
  • Demonstrated ability to work independently and to initiate new projects.
  • Demonstrated excellence in oral and written communication skills.
  • High organizational skills required for detailed and complex recordkeeping.
