Job Summary :
The Purchasing Clerk provides administrative support to the procurement department. This position assists with creating and tracking purchase orders, maintaining records, communicating with vendors, and ensuring the timely and accurate flow of purchasing documentation. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced production environment.
Essential Job Functions :
- Purchase Order Entry : Prepare and issue purchase orders for materials, supplies, and packaging as directed.
- Vendor Communication : Contact vendors to request quotes, confirm pricing, and verify order and shipment details.
- Order Tracking : Monitor open purchase orders and update records with delivery status or changes.
- Invoice & PO Matching : Review vendor invoices, match with corresponding purchase orders and receiving documents, and forward for payment processing.
- Record Maintenance : Maintain organized purchasing files and electronic records for audit and tracking purposes.
- Inventory Support : Assist with monitoring supply levels and report low stock or shortages to the Procurement & Warehouse Manager.
- Data Entry : Enter purchasing data accurately into spreadsheets and inventory management systems.
- Administrative Support : Provide general administrative assistance to the procurement team, including filing, scheduling, and document preparation.
- Communication : Coordinate with warehouse, production, and accounting teams to ensure purchasing information is accurate and up to date.
Requirements :
Previous experience in purchasing, data entry, or administrative support preferred.Strong organizational and time-management skills with attention to detail.Excellent written and verbal communication skills.Proficiency in Microsoft Excel is required.Experience with Fishbowl or similar inventory software a plus.Ability to multitask and maintain accuracy in a busy environment.Dependable, positive, and team-oriented attitude.Preferred :
