Summary
The Chief People Officer Assistant plays a key role in helping the Human Resources team run smoothly and efficiently while supporting the Chief Human Resources Officer. The HR Coordinator provides high-level administrative, logistical, and project support to the Chief Human Resources Officer (CHRO). This role is responsible for managing the daily operations of the CHRO’s office, including coordination of key HR projects and initiatives, complex scheduling, travel arrangements, expense management, and an introduction to the ever-evolving world of HR. The position requires exceptional organizational skills, discretion, and professionalism, as well as the ability to anticipate needs and proactively support a fast‑paced executive environment. It is ideal for the employee who has a passion for HR and wants to learn first‑hand what the function includes with exposure to the highest level.
This role requires familiarity with travel and expense systems such as Concur and proficiency in Microsoft Office applications, including Outlook, Excel, PowerPoint, Word, and Teams.
What You’ll Do :
- Support HR strategic initiatives, special projects, and cross‑functional programs led by the CHRO.
- Track and report progress on key HR projects and deliverables.
- Assist with the preparation of HR presentations, dashboards, and communication materials for internal and external audiences.
- Maintain organizational documents, project plans, and HR administrative systems for efficiency and consistency.
- Coordinate logistics for leadership offsites, HR team meetings, and companywide events.
- Partner with cross‑department teams to ensure alignment on people‑related initiatives.
- Draft and edit correspondence, presentations, and reports on behalf of the CHRO.
- Handle incoming and outgoing mail for the CHRO and create shipping labels as needed.
- Organize and prepare materials for meetings, including agendas, presentations, and follow‑up actions.
- Manage and maintain the CHRO’s complex calendar, including scheduling meetings, resolving conflicts, and ensuring efficient time management.
- Coordinate domestic and international travel arrangements, itineraries, and accommodations.
- Manage all CHRO and team travel arrangements through Concur, ensuring cost‑effective bookings and full compliance with the company’s Travel and Expense Policy.
- Prepare, review, and process expense reports in a timely and accurate manner.
- Manage sensitive and confidential information with the highest level of discretion.
- Serve as a central point of contact between the CHRO, HR team, and other departments, ensuring clear communication and follow‑through on deliverables.
- Assist with general HR administrative functions such as onboarding logistics, compliance tracking, and HR communication coordination as needed.
- Support virtual and hybrid meeting coordination using digital collaboration and file‑sharing tools such as Microsoft Teams, Zoom, SharePoint, OneDrive, etc.
About You :
Bachelor’s degree in business administration, Human Resources, or related field (or equivalent work experience).3+ years of HR, executive assistant, or administrative experience supporting a senior executive, preferably in HR or corporate leadership.Exceptional organizational skills, attention to detail, and ability to manage multiple priorities.Strong written and verbal communication skills with a high level of professionalism.Experience using Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and collaboration tools (Teams and Zoom).Proven ability to handle confidential information with discretion and sound judgment.Ability to work independently, anticipate needs, and proactively solve problems in a fast‑paced environment.Preferred Skills
Experience supporting CHRO, C‑suite executives, or senior HR leadership.Experience in HR as an HR business partner or coordinator, with an emphasis on compliance and employee relations.Experience using travel and expense management systems (Concur).Experience in HR systems such as Dayforce or ATS platforms.Strong project management and problem‑solving skills.Ability to work independently and anticipate executive needs.High emotional intelligence and collaborative approach.Comfortable using different computer systems and software, and able to quickly learn new tools or technologies.Bilingual in Spanish preferred but not required.Familiarity with or an openness to using AI‑powered tools (such as ChatGPT, Microsoft Copilot, or similar) to help streamline scheduling, document preparation, and other HR‑related tasks.#LI‑LP1
