Asset Clerk
Pittsburgh Public Schools employs over 4,000 individuals in various capacities to support the academic achievement and strength of character of the students we serve. Under the supervision of the Financial Services Manager, the Asset Clerk is responsible for the daily maintenance and upkeep of the fixed asset inventory of the Pittsburgh Public Schools (PPS). This position adheres to Generally Accepted Accounting Principles (GAAP) and federal guidelines, in conjunction with PPS's established policies and procedures.

Essential Functions :
- Coordinate and implement the Fixed Asset Inventory process while conducting financial functions that support the Finance Department.
- Perform ongoing physical inventory on equipment within school classrooms and buildings across the Pittsburgh Public Schools.
- Work closely with the Information Technology department in updating inventory disposals and acquisitions.
- Enter, audit, and correct fix asset inventory entries in the Munis Financial System.
- Provide external auditors with detailed information and back-up request during the annual Single Audit.
- Provide administrative support to the Financial Services Division and the Director of Finance.
- Compose, copy, scan, and assemble mailing and documents for distribution.
- Prepare and enter monthly board approval actions and business tabs for the Financial Services Division.
- Maintain and ensure confidentiality of specified communication, records, and other extremely sensitive information.
- Document various procedures within the department and recommend improvements.
- Provide regular updates to supervisor regarding progress towards goals and challenges to meeting goals.
- Participate in departmental, team, and individual planning and goal setting.
- Communicate effectively and confidentially at all levels, over the phone, face-to-face, and electronically.
- Serve as the backup timekeeper for the Finance Division by monitoring and preparing payroll which may include entering overtime, reconciling employee absences, and entering additional compensation payments.
- Other relevant duties as assigned by supervisor in support of the Department's goals and objectives and the District's mission and Superintendent's Priority Goals.

High School Diploma or GED (General Education Development)Certification / Licensure Required : N / A
Years of Experience : 2 Years Preferred
Knowledge, Skills, and Abilities :
Experience or knowledge in utilizing Enterprise Resource Planning Software (ERP) preferred.Working knowledge of tracking fixed asset inventory preferred.Valid Driver's License and reliable transportation to travel to school sites and district buildings.Demonstrated attention to detail and organizational skills.Experience maintaining electronic information files and processing paperwork.Ability to perform work within defined specifications and timelines while managing conflicting priorities.Ability to maintain effective working relationships with schools and departments.Demonstrated proficiency in MS Word, Excel, Outlook, (Munis preferred).Ability to exercise a high degree of confidentiality, professionalism, and diplomacy to accomplish objectives.Ability to cultivate relationships with culturally, educationally, and racially diverse internal and external customers.Excellent oral, written, and interpersonal communication skills.Value, demonstrate, and promote diversity, equity, and inclusion.Working Conditions & Physical Requirements :

City of Pittsburgh Residency Requirement :
This position requires individuals to live in the territorial boundaries of the School District of Pittsburgh. If hired for this position you will be required to establish residence within three calendar months of your hire date with Pittsburgh Public Schools.
