Facilities and Administration Manager
Location : New York City (Hybrid - 4 days in office, ½ day remote Fridays)
Schedule : Monday - Friday, circa 40 hours, flexibility required

Compensation : $110,000 - $130,000
A leading management-owned professional services organization is seeking an experienced Facilities and Administration Manager to join our corporate headquarters in New York City. This is a key leadership role overseeing administrative and facilities operations while providing direct support to the Chief Administrative Officer.
We are looking for a seasoned, detail-oriented administration leader who thrives in a fast-paced, collaborative environment and is passionate about creating a high-performing, efficient, and well-supported workplace.
Key Responsibilities :
- Oversee a team of 30 administrative professionals, including delegation of tasks, performance evaluations, training, and workload management.
- Support the Chief Administrative Officer with analysis, budgeting, communications, and other strategic initiatives.
- Prepare and edit correspondence, reports, and executive presentations.
- Coordinate and maintain appointment calendars, including internal and external meetings.
- Set up conference rooms and manage meeting logistics, including technology and video conferencing.
- Manage the facilities team and ensure all offices are safe, clean, and fully operational.
- Oversee work orders, maintenance activities, and the smooth functioning of building systems.
- Manage vendor and contractor relationships - scheduling repairs, reviewing invoices, ensuring service quality, and maintaining contract compliance.
- Implement and maintain safety and compliance procedures, coordinate emergency response plans, and ensure adherence to all relevant regulations.
Qualifications :
Demonstrable experience overseeing large administration and facilities functions ( 30+) for a top professional or financial services firm.Proven experience in facilities management and administrative operations within a corporate environment.Excellent organizational, analytical, and communication skills.High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).Strong understanding of vendor management, budget processes, and compliance standards.Ability to manage competing priorities and perform effectively under pressure.Professional, discreet, and solutions-oriented approach with strong attention to detail.Benefits :
