Enterprise Fleet Specialist
Under the leadership of the Manager Fleet, the Enterprise Fleet Specialist is responsible for overseeing and coordinating the operations of the Fleet Services division within the Procurement Services Department. This role demands a high level of confidentiality and strict adherence to all applicable legal and regulatory standards. The Enterprise Fleet Specialist actively collaborates across departments, initiates strategic opportunities, and supports cross-functional initiatives, consistently advocating for the Tribe's goals and priorities in a manner that upholds its vision, mission, and core values.
Essential Duties And Responsibilities :
- Coordinates and oversees the maintenance and repair of all vehicles and equipment owned by the Yuhaaviatam of San Manuel Nation (YSMN), ensuring optimal operational readiness and safety. Manages the timely renewal of vehicle registrations in collaboration with the local commercial DMV office. Serves as a key representative of the department, consistently demonstrating professionalism and courtesy in interactions with internal and external stakeholders to foster and maintain effective working relationships.
- Generates service requisitions and ensures accurate documentation by scanning and entering all vehicle service records, repair details, and DMV registration information into the Fleet Management database. Maintains data integrity and supports efficient fleet operations through meticulous recordkeeping and system updates.
- Develops and maintains comprehensive records, inventories, and tracking charts related to the maintenance of vehicles, radios, and facilities. Ensures accuracy and accessibility of documentation to support operational efficiency and compliance with organizational standards.
- Provides support for organization-wide fleet operations, including the acquisition and replacement of vehicles, to ensure alignment with strategic and operational needs. Apply comprehensive knowledge of professional standards, departmental directives, approved procedures, and policies. Ensures full compliance with applicable federal and state regulations, Tribal ordinances, and all Indian gaming-related requirements.
- Monitors and manages budget allocations and expenditures related to preventative maintenance, equipment repairs, and the replacement of vehicles and associated assets. Ensures financial accountability and supports strategic planning through accurate tracking and reporting of fleet-related costs.
- Collaborates with the Procurement Department to negotiate, establish, and manage contracts and service accounts with vehicle dealerships, service centers, fuel providers, automotive wash / detail vendors, and towing companies. Ensures contractual compliance, cost-effectiveness, and service quality to support fleet operations.
- Conducts routine evaluations to verify that all contractual obligations are being met by vendors and service providers. Ensures compliance with agreed terms and proactively addresses any discrepancies to maintain service quality and operational integrity.
- Performs basic diagnostic assessments on San Manuel property vehicles and, when appropriate, completes minor repairs to ensure continued operational efficiency and safety. Supports timely maintenance and troubleshooting efforts in alignment with departmental standards.
- Performs other duties as assigned to support the efficient operation of the department.
Education, Experience And Qualifications :
High School diploma or GED required.Associate's degree from an accredited institution is desired; a degree in Business Management or Organizational Leadership is preferred.Minimum three (3) years of relevant experience is required.Knowledge, Skills And Abilities (Ksa) :
Experience with Microsoft Office 365 : Word, Access, Outlook, and Excel spreadsheets required.Experience in analyzing and projecting budgets, fleet vehicle maintenance and repair management, and radio system maintenance and repair management required.Strong project management and analytical skills are desired.Must be familiar with hazardous materials and possess understanding of how to properly maintain and store them.Licenses, Certifications And Registrations :
At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.Automotive Service Excellence (ASE) certification in "A" series is preferred.Current Medical Examiner's Certificate issued by a certified medical examiner listed on the FMCSA National Registry is preferred.Authorized Driver : Role requires operation or driving of Tribe-owned vehicles or driving patron vehicles. A valid driver's license with an acceptable driving record as determined by the insurance carrier is required.Physical Requirements / Working Conditions Environment :
Primary work environment is in a climate-controlled office setting.Work requires travel to attend meetings, trade shows, and conferences.Incumbents may be required to work evening, weekend and holiday shifts.Must be able to work in a fast-paced, high-demand environment.Strength sufficient to exert up to 10 pounds of force occasionally and / or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects and / or move up to 40 pounds occasionally.Sedentary work : involves sitting most of the time.
