Athletics, Activities and Events Coordinator

JOB CLASSIFICATION / WORK EXPECTATIONS : HOURLY RANGE : $40,000-$50,000

The Athletics, Activities and Events Coordinator position is full time, non-exempt. Employees in this position follow HOPE’s Year Round Work Calendar, as determined annually. The expected workweek is 40 hours, typically from Monday - Friday. Events and activities can take place during the school day and after regular school hours depending on the activity.

SUMMARY :

The Athletics, Activities and Events Coordinator will be responsible for ensuring that all events, athletics & activities align with HOPE's mission and values, as well as promote a positive and inclusive community culture. They will work to build relationships with local organizations, businesses, and community members to enhance the resources available for HOPE students and families.

In addition to event planning, the Athletics, Activities and Events Coordinator will assist in coordinating transportation, equipment, and supplies needed for events, athletics & activities. They will also be responsible for communicating event details to staff, students, and families through various channels such as newsletters, social media, and flyers.

The Athletics, Activities and Events Coordinator will play a crucial role in fostering a sense of belonging and engagement among HOPE students and families. By providing opportunities for students to participate in athletics, arts, and other extracurricular athletics & activities, they can help students develop new skills, build confidence, and form meaningful connections with their peers.

Overall, the Athletics, Activities and Events Coordinator will be an essential member of the HOPE team and the Community Engagement department who contributes to creating an engaging and fulfilling environment for our students. They will work closely with the Director of Affiliation and Enrichment to plan and execute a variety of athletics & activities that cater to the diverse interests and abilities of our students. The Athletics, Activities and Events Coordinator will also be responsible for ensuring that all necessary materials and equipment are available for each activity, as well as maintaining a safe and clean environment. By fostering a sense of community and promoting social interaction, the Athletics, Activities and Events Coordinator will play a crucial role in enhancing the overall quality of life for our students at HOPE. Their dedication and commitment to creating meaningful experiences will undoubtedly make a positive impact on the lives of those we serve.

ESSENTIAL DUTIES AND RESPONSIBILITIES :

Priority Area : Coordinate and execute HOPE activities, events, athletics and arts programming for Learning Sites, students, families and employees.

Duties and Responsibilities

  • Helps to create and execute the annual HOPE activities calendar, including the creation of event fliers and announcements.
  • Develop, create, plan and execute HOPE events, activities, athletics and arts programming to support student engagement, retention and recruitment at the Learning Sites while focusing on student and parent engagement and relationships.
  • Review and Analyze each event, activity, athletic opportunity for overall success and value.
  • Attend and support all other HOPE events, including but not limited to dances, athletics, field trips, graduation and HOPE fundraisers. Events are held during and after regular school hours.
  • Develop new opportunities based on student and site input.
  • Provide excellent customer service to Learning Sites, students and families.

Evidence of Success

  • Increased participation in HOPE events, activities, athletics and the arts.
  • Addition of new events, as requested by Students and the Learning Sites.
  • Support and enrichment of the HOPE experience for students, based on surveys and anecdotal evidence.
  • Priority Area : Supports all HOPE affiliation, enrichment and student focused opportunities that focus on student, parent, and Site relationships.

  • EDUCATION, LICENSURE AND RELATED WORK EXPERIENCE :

    Required

  • Associate’s degree in a related field or equivalent experience
  • 2 years’ experience in event management
  • 2 years’ customer service experience
  • SKILLS, KNOWLEDGE, AND ABILITIES :

  • Commitment to social justice and equitable education for all and support of community based learning
  • Cultural proficiency and interpersonal / relationship building skills
  • Fluency and literacy in English, excellent oral and written communication
  • Excellent technology skills – Google Docs, Drive and Gmail, MS Office, Student Information and learning management systems, social media platforms

  • Oral and written fluency in Spanish

  • REPORTING RELATIONSHIP :

    The Athletics, Activities and Events Coordinator reports to and is evaluated by the Director of Affiliation and Enrichment and does not supervise any HOPE or Learning Site employees.

    PHYSICAL AND MENTAL FUNCTIONING REQUIREMENTS :

    While performing the duties of this job, the employee is regularly required to :

  • Compare, analyze, communicate, instruct, synthesize, evaluate, use interpersonal skills, compile and negotiate
  • Communicate effectively using speech and hearing
  • Use near vision to see details at close range (within a few feet of the observer) as required for computer use, reading and instruction
  • Use hands for extended periods of time at a keyboard or workstation
  • Operate office machines and computer equipment
  • Be subject to standing, walking, sitting, bending, reaching, kneeling, climbing, balancing, stooping, pushing and pulling
  • Occasionally lift objects up to 25 pounds
  • LOCATION, WORKING ENVIRONMENT AND TRAVEL REQUIREMENTS :

    Work is routinely performed in an office environment with moderate noise level. This position works primarily at the HOPE Central Office in Englewood, with frequent and regular travel to and between Learning Sites and event sites. Travel is the responsibility of the employee. Compensation for mileage is per the HOPE Mileage policy.
