Position type : Office Administrator - Part-time
The office administrator is accountable to the Pastor and is responsible for, but not limited to : the daily operation of the church office, support to the Pastor and church staff, communication of church activities.
The office administrator is on the front lines of our church ministry and is one of the first person(s) the public encounters. Therefore, this position is very special and a direct reflection of the church. It is important for the office administrator to have an excellent command of technology. Must understand and respect the PCOP Mission Statement.
JOB RESPONSIBILITIES :
Office Management
- Support the Pastor and staff through word processing, filing, report generation, photo copying, answering phones, screening calls and visitors, mail retrieval and distribution, maintaining church calendar, communicating upcoming events
- Prepare weekly worship bulletin; supplying all necessary information for the upcoming week's schedule of events, gaining pastoral approval and final bulletin assembly. Posting finished bulletin to all social media platforms
- Prepare newsletter and social media communication; as required
- Maintain membership and attendance data in the church database
- Maintain the Office Procedure Manual, so information as to the function of the church office, is kept up-to-date and is easily accessible to others
- Ensure stocking of church office, custodial, bulletin and computer supplies
- Assist the church Treasurer with monthly reconciliation of credit card expenditures
- Attend weekly Staff Meeting with Pastor and the team
Technology
Work with Pastor and appropriate leads to maintain and update church technology and equipmentImplement monthly backup / upload to Google docs of all pertinent database informationProvide technical assistance to end-users regarding computer usage and troubleshoot any computer problems (hardware or software)Knowledge, Skills, Abilities :
Working knowledge of relevant operating systems, software and programming including, but not limited to :MS Office : Word, Excel, Publisher, PowerPoint, Outlook
