The Administrator - Program Operations at the University of Washington Latino Center for Health is responsible for leading administrative, financial, and human resources functions to support the Center’s mission of advancing Latinx health through research and community partnerships. This role includes managing budgets, coordinating events, supporting strategic planning, and facilitating communication with stakeholders. The position requires strong leadership, organizational skills, and a commitment to social justice and diversity.

The School of Social Work seeks a full time Administrator - Program Operations to work with the Latino Center for Health (LCH), the only research center in Washington state and the WWAMI region whose singular focus is on advancing Latinx health. The Latino Center for Health is an interdisciplinary research center that seeks to promote the health and well-being of Latinas and Latinos in Washington State and regionally in culturally responsive ways. A major goal of the Center is to promote the health and well-being of Latinx communities through collaborative research partnerships with community-based organizations, researchers, and government agencies. Through its research, the Center informs and impacts policy and practice affecting Latinx communities across the state. The Center's research foci include physical health, particularly chronic diseases, and mental health, across the life span. Drs. Gino Aisenberg and Leo Morales serve as co-directors of the Center.

The Administrator - Program Operations will report to the center directors and work closely with LCH faculty and staff to coordinate and support administrative responsibilities for the efficient functioning of the Center in fulfillment of its mission. Towards this end, the Administrator - Program Operations will provide leadership and administer the Center's fiscal and HR procedures in collaboration with the School of Social Work, which is the administrative home of the Center. In doing so, the Administrator - Program Operations will serve as a critical hub in support of the individual and collective responsibilities of the co-directors, directors and staff of the Latino Center for Health. The Administrator - Program Operations is expected to contribute to the excellence of the Center in the following key areas :

Program Leadership (50%)

  • As a member of the Center's Leadership Team, guide the growth and sustainability of the Center, supporting staff, and prioritizing the research and community-centered activities of the Center.
  • Contribute to the vision of the Center and implementation of its Strategic Plan and accountability to it.
  • Coordinate with leaders / directors of the Center's cores, and provide administrative and logistic support for their activities in advancing the health of Latinx communities throughout WA state through research, scholarly publications, policy briefs and community engagement.
  • Manage the Center's on-going implementation of its Strategic Plan, including laying the foundation for and initiating a major Endowment Campaign.
  • Oversee weekly Center staff meetings, prepare agendas and meeting packets and other materials, set-up room and A / V for meetings, draft meeting notes and disseminate them in a timely manner
  • Manage logistics of projects and Center events, such as support research intervention activities and scheduling use of LCH conference space, on-campus presentations, travel of invited speakers, community events and center-sponsored events, including the annual Latinx Faculty Recognition Event of the scholarly achievements of Latinx faculty across the tri-campuses as well as support research intervention activities
  • Schedule meetings, travel details and facilitate communication with stakeholders (internal and external) as directed by a co-director
  • Serve as the Center's liaison to SSW IT Services
  • Initial phone and email contact with internal and external stakeholders, directing them to the appropriate individuals
  • Serve as point person with property management regarding LCH office space
  • Order, receive, maintain and project Center supplies, including purchasing supplies and food and preparing materials for Center meetings with stakeholders, including Advisory Board meetings
  • Complete other duties as assigned

Finance (30%)

  • Administer and oversee Center's fiscal procedures and budgets; serve as the Center's liaison to the SSW Finance & Administration; attend budget meetings with SSW Finance & Administration and ensure fiscal responsibility and accountability with regards to the center's multiple budgets
  • Manage the development and implementation of the Center's Endowment Campaign, including providing administrative support, scheduling of meetings and communication across diverse stakeholders, including SSW Dean, Advancement Officer, the Campaign's consultant, the Advisory Committee and community leaders involved in this major multi-year fund-raising effort.
  • Oversee the fiscal management of the Center's Fellowship program that awards funding to graduate students across the six Health Sciences schools at Seattle, the health science programs at Bothell and Tacoma campuses as well as at Heritage University and WSU
  • Report regularly on current and projected financial strengths and needs of the Center to inform prioritization of its activities responsive to its mission.
  • Support diversification of funding streams of the Center, including the submission of grants and funding proposals to the state legislature and major foundations
  • Prepare annual budgetary reports 1) the operating budgets to be reviewed by the Center's Advisory Board, and 2) reports regarding the progress of the Endowment Campaign for Advisory Committee and public consumption,
  • Participate in the Leadership team's fiscal planning and help inform budgetary decisions
  • Process reimbursements and Procurement card transactions and reconcile purchases to correct budgets
  • Prepare SSW finance, travel, and purchasing forms in a timely manner
  • Human Resources (20%)

    In partnership with SSW HR :

  • Coordinate, oversee and support all LCH hiring processes from job posting to interviews to onboarding
  • Provide onboarding of new LCH staff hires, including use of office space and technology
  • Maintain up-to-date job position descriptions for all LCH staff
  • Manage the annual review process of staff
  • Communicate designated HR information to staff employees and help ensure compliance with all applicable University, state, and federal employment rules and regulations as directed by SSW HR
  • Serve as the Center's liaison to SSW Human Resources
  • Serve as back up time and absence approver in Workday for staff reporting work hours
  • Minimum Requirements

  • Bachelor's degree or equivalent AND two years of experience in administrative or financial leadership OR equivalent education / leadership experience.
  • Additional Requirements

  • Demonstrated experience managing budgets and fiscal responsibilities
  • Ability to provide leadership in coordinating activities across the Center's cores : Administrative, Research, Policy and Communications
  • Ability to represent LCH in a professional manner with internal and external stakeholders and colleagues and work effectively across stakeholders
  • A high level of organization and keen attention to detail
  • Ability to balance multiple demands simultaneously under time constraints
  • Excellent oral and written communication skills in English
  • Strong ability to communicate well with people from diverse ethnic / racial and socioeconomic background
  • Ability to work both independently with limited supervision, and collaboratively as part of a team
  • Ability to exercise sound judgment and to address complex situations creatively
  • Proficiency with Microsoft Outlook, Word, PowerPoint, Excel, and web searches
  • Ability and interest in learning new software programs
  • Desired Qualifications

  • Skilled in using Workday, my Financial desktop, Ariba and other UW Administrative systems
  • Bilingual in Spanish and English
  • Master's degree in a health-related or administration-related field
  • Interest in Latinx health and health disparities
  • Interest in acquiring research skills and knowledge
  • Administrative work experience in an academic, public health, health care, or social service organization
  • Demonstrated commitment and familiarity working with Latinx communities
  • Working Conditions :

  • This position will have computer and work station at LCH office. On rare occasions, may be asked to be present to support an evening event or meeting. In person completion of work responsibilities is expected. Overnight travel is not expected.
