Position Overview
The Senior Service Support Manager is a vital leadership role that drives the success of external service provider management across various trades. This position is focused on negotiating competitive service rates, enhancing service quality, and securing discounts to optimize service delivery while minimizing costs.
Key Responsibilities
- Vendor & Relationship Management : Source, select, and oversee external service providers, ensuring they meet the organization's standards.
- Negotiate competitive agreements that balance quality service with cost-effectiveness.
- Lead monthly vendor and manufacturer reviews to enhance accountability and performance.
- Collaborate with vendors and manufacturers to identify cost-saving opportunities and service enhancements.
Financial Oversight :
Monitor part purchasing and verify invoicing for outsourced services to ensure alignment with financial goals.Validate vendor billing against contractual agreements to maintain accuracy.Identify areas for cost reduction and streamline financial processes for efficiency.Training & Development :
Act as the primary contact for Operations training focused on key maintenance topics.Design and implement training programs that promote effective upkeep and mitigate asset failures.Collaborate with internal teams to facilitate knowledge transfer and operational improvements.Work Order System & Data Utilization :
Utilize data from the work order management system to track asset-related trends and recurring issues.Generate actionable insights to resolve persistent problems and foster continuous improvement.Report trends and metrics to inform proactive service strategies.Strategic Leadership & Collaboration :
Provide strategic analysis and insights to the Executive Director of Facilities.Align service support initiatives with organizational objectives to enhance performance.Promote a culture of continuous improvement and exceptional service delivery.Qualifications
Required :
Demonstrated experience in sourcing and managing relationships with external service providers.Exceptional communication, negotiation, and vendor management abilities.Strong analytical skills and experience with work order or data management systems.Background in vendor management or related facilities operations.Ability to navigate competing priorities in a dynamic work environment.Preferred :
3+ years of leadership experience in facilities or multi-site operations.Experience with maintenance trades or service providers.Knowledge of logistics in regional and national service areas.
