Service Coordinator - Electrical Division – Tom Drexler Plumbing, Heating, Air & Electric

Location : Louisville, KY 40218 - This is an ON-SITE POSITION

Work Type : Full-Time, Hourly

Schedule : Monday - Friday 8 AM - 5 PM

Compensation : $18 - $22 per hour

This important position supports our busy Electrical Team. Experience with Permits, Inspections & scheduling preferred! Service Titan experience a PLUS! Great Customer Service professionalism, strong Admin skills are a MUST!

This position is primarily responsible for coordinating Electrical work and installations for maximum customer satisfaction while maintaining a high level of profitability through efficiency and productivity. To have all Equipment and Materials. To predict and reduce any obstacles that will interfere with the Process, including but not limited to : Equipment, Materials, Scope of Work, Unforeseen Material Requirements, and Change Orders. This position acts as a coordinator - working with the Electrical Manager to achieve 100% Client Fulfillment and Vision Fulfillment.

What You’ll Do

Coordinator will urgently schedule all the Electrical jobs. This role will prioritize the jobs to keep all installation crews at work and minimize any gaps in the schedule. The Coordinator will schedule all work to meet departmental revenue goals.

Main Responsibilities :

Pull all permits for Louisville Etown and Frankfort branches.

Schedule Off / On’s with utility companies when needed.

Schedule inspections with inspectors when required.

Answer and assist techs when they call in.

Takes calls from customers to address any questions or concerns they may have.

Works hand in hand with dispatch to manage our board to ensure the calls are directed to the right technicians.

Makes collection calls to customers when needed.

Books all sold jobs.

Does call ahead’s to technicians when they have sold work the next day to make sure they have everything needed to perform the work.

Books generator estimates when received from Kohler.

Essential Job Functions :

  • Communicate with the sales team to book solid installations
  • Schedule installations and assign install crews in Service-Titan
  • Keep in communication with customers regarding scheduling and timelines for completion
  • Prepare any permits or needed documents prior to installation
  • Maintain and update the Install Boards
  • Ensure proper equipment has been recorded in the customers records
  • Register all equipment as needed
  • Register rebates for the company and customers as needed
  • Assist customers with scheduling inspections or any post-installation matters
  • Make post-installation follow-up calls to achieve the highest level of customer satisfaction
  • Review sold jobs for ordering purposes (any restricted orders should be placed at this time)
  • Adjust or Create any Plans that arise
  • Ensure Permitting has “greenlight” to pull permits before scheduled date. (Equipment will not Change, Date is Confirmed W / Client)
  • Ensure every job is correctly staged and prepared for following days installation
  • Receive all Equipment and Material PO’s in Service Titan for Plumbing Dept. jobs
  • Mark and Adjust Materials after Returns before final costing
  • Return or Add to Stock Canceled jobs Equipment, based on Stocking Environment
  • Communicate with customer to confirm the scheduling of their installation.
  • Assign and dispatch Technicians on a daily basis.
  • Provide detailed information about job to Techs the evening before job is scheduled. This includes phone and emails to tech and personal email addresses with job sheet specifications.
  • Communicate personally with each Tech daily (approximately 3 pm) to determine status of job completion.
  • Make any necessary schedule adjustments to ensure all work is completed timely, thoroughly and to the customer’s satisfaction.
  • Qualifications :

  • Ability to multi-task with a high level of accuracy and attention to detail and prioritization
  • Strong communication skills, written and verbal
  • Proficient with Microsoft Suite including Word, PowerPoint, Excel, and Outlook
  • Prior customer service experience is a PLUS!!!
  • Experience with Service-Titan preferred but not required

  • Tom Drexler Plumbing, Air & Electric is looking for a top-quality, enthusiastic individual with excellent communication and customer service skills to join our Team in Louisville, KY.

    This is a Full Time, Hourly position, working on-site in our Louisville KY Branch location

    Must have solid Admin / Computer skills, a great Customer Service focus, Sales experience helpful.

    Thorough knowledge of spreadsheet and word-processing software - MS Office / MS 365 - EXCEL, Teams, Outlook, Word etc

    Comfortable sitting for extended periods, standing, and operating a computer
