Office Manager

A growing and award-winning architecture and design firm is seeking a proactive and detail-oriented Office Manager to join its team of architects, landscape architects, and interior designers. This role is essential in ensuring smooth office operations and delivering excellent client service. The position is based in Tulsa, Oklahoma.

The firm is known for its collaborative environment and diverse portfolio of work, including education, government / public, healthcare, office, non-profit, and recreation projects, as well as specialty practices in hospitality, equine, and historic preservation architecture. The ideal candidate will thrive in a fast-paced, team-oriented environment, be a self-starter, and excel at multitasking. Strong attention to detail, organization, and the ability to prioritize deadlines effectively are essential. This role requires proactive planning, critical thinking, and excellent problem-solving and communication skills.

Job Responsibilities

Employee Experience & Office Support

  • Facilitate employee onboarding and ensure a welcoming experience for new hires
  • Maintain office supplies and equipment inventory
  • Coordinate administrative tasks such as ordering flowers and handling office support needs
  • Assist with software and system platforms used across the company

Scheduling & Coordination

  • Manage company calendars, conference rooms, and shared resources
  • Organize internal events, training sessions, and company gatherings
  • Coordinate travel arrangements, including flights, hotels, and rental vehicles
  • Asset & Facility Management

  • Oversee maintenance, registration, and usage tracking of company vehicles
  • Manage branded materials and company apparel
  • Documentation & Compliance

  • Handle certificates of insurance (COIs), requests, and policy compliance
  • Assist with contract reviews and edits
  • Departmental Support

  • Provide administrative support to accounting and design teams
  • Contribute to special projects and other assignments as needed
  • Qualifications

  • Associate or bachelor's degree preferred
  • Strong organizational and time management skills with the ability to handle multiple priorities
  • Excellent verbal and written communication skills
  • Strong sense of client service and professionalism
  • High attention to detail and a strong sense of urgency
  • Intermediate to advanced skills in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
  • Proficiency with virtual meeting platforms such as Teams and Zoom
  • Ability to work independently and take initiative
  • Flexible and adaptable to change
