Job Duties Warranty Operations Coordinate warranty work across all locations, including travel as needed Verify warranty coverage, eligibility, and claim timelines Maintain accurate, organized records of claims and documentation Track parts orders, backorders, and returns related to warranty processes Monitor factory recalls, PIPs, and regulatory requirements and updates Support continuous improvement of warranty-related processes and procedures to optimize performance and profitability Claims Management Prepare and submit warranty claims accurately and promptly in accordance with manufacturer processes. Follow up on denied or returned claims; investigate and resubmit as appropriate. Maintain a follow-up calendar to ensure timely processing and payment. Provide clear communication to Service Managers and stakeholders regarding claim status and outcomes. Internal Coordination and Communication Work closely with Service, Parts, Sales, and other departments to gather required documentation and coordinate repairs and parts Communicate warranty coverage on repairs to customers and provide them with timely claim updates Provide end results of warranty claims to direct reports and stakeholders to determine and provide customers with final resolution Keep abreast of manufacturer's claim policy, procedures, and processing modifications through communications with department managers Notify Sales department of upcoming warranty expirations to support extended warranty opportunities Share best practices, challenges, and updates across all locations Parts and Returns Resolve vendor shortages, defective or incorrect parts, and freight claims Provide required documentation, photos, and failed parts in compliance with manufacturer requirements Apply for, process, and track core returns Customer Service Greet and assist customers and respond promptly in a professional and positive manner to questions, concerns, or complaints Support and coach employees on customer service expectations related to warranty work Maintain a positive and professional working relationship with peers, management, and support resources, with a constant commitment to teamwork and exemplary customer service Always conduct self in the presence of customers and community so as to present a professional image of MILLER SELLNER General Duties Follow all safety rules and use of the proper personal protective equipment (PPE) Maintain a clean, organized, and safe working environment Attend trainings and follow all company policies and procedures Obtain and maintain certifications required for job duties Maintain regular, punctual attendance with flexibility to meet business needs Maintain insurability for required travel Demonstrate teamwork and professionalism in all interactions
Minimum Education Required High school diploma or GED
Minimum Experience Required two years of relevant knowledge or experience, preferably in a dealership service or warranty department
