Job description

We are seeking a detail-oriented and organized Accounts Payable Coordinator to join our finance team. This role is responsible for managing all aspects of accounts payable processes. This position plays a critical role in ensuring the accuracy and timeliness of financial transactions and maintaining positive relationships with vendors, funding sources, and internal stakeholders. The ideal candidate is detail-oriented, deadline-driven, and capable of handling multiple responsibilities in a fast-paced environment.

This is a 4 0 hour / week, benefit eligible position , with an in-person schedule at the office in South Burlington, VT. NAFI offers work flexibility, a robust benefits package and three weeks paid vacation upon hire. Come be a part of our team!

Excellent benefits and salary range $24.00 / hour - $27.00 / hour based on experience.

Key Responsibilities :

Accounts Payable :

  • Process vendor invoices accurately and in a timely manner, ensuring proper coding, approvals, and documentation of all payables and credit card expense reports.
  • Monitor and maintain the AP Outlook inbox.
  • Reconcile vendor statements and communicate with vendors to resolve discrepancies.
  • Prepare and process weekly check runs and ACH electronic payments and annual 1099 files.
  • Maintain electronic vendor files ensuring W-9 and other required documents are up to date.
  • Generate invoices for funding contracts and work with AR to apply incoming payments.
  • Work closely with program staff to compile and confirm the necessary documentation for timely invoice processing.
  • Monitor aging reports, follow up on past-due accounts and resolve billing issues

General :

  • Maintain organized and up-to-date financial records.
  • Assist in month-end and year-end closing processes.
  • Support internal and external audits.
  • Perform other administrative or accounting duties as assigned.
  • Qualifications :

  • Associate or bachelor’s degree in accounting, Finance, or related field preferred.
  • 2+ years of experience in AP and / or AR roles.
  • Proficiency with accounting software; Great Plains and SAP Concur a plus.
  • Strong Excel skills and attention to detail.
  • Excellent communication and organizational skills.
  • Ability to work independently and manage multiple priorities.
