Job description

Please Note : This is an in-office position which will require working at our Draper, UT headquarters, Monday-Friday from 1-5pm. Additionally, employment with BambooHR is contingent on passing both a background and credit check.

Job Summary

As a Payroll Services Admin, you will be an integral part of our team, providing print services support to Payroll Services and our other departments. This position will involve various duties, including printing documents, processing checks, managing incoming and outgoing mail, and supporting the team with general office tasks. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to work in a fast-paced environment. You will be part of a team of two part-time Payroll Services Admins working a 20-hour shift per week together in-office covering the core business hours of 8am to 5pm MT. Schedules must provide for a clear transition of duties between team members.

Essential Job Duties

  • Mail Management

Open and sort incoming mail

  • Scan mail to ensure proper distribution to relevant departments
  • Prepare and ship packages, including selecting appropriate shipping methods, labeling, and tracking
  • In-office printing
  • Print and sort documents and checks accurately as required for daily business operations

  • Scan and digitize printed documents for proper record-keeping and maintain storage in appropriate file systems
  • Audit scanned tax filings and payments
  • General Administrative Support
  • Adhere to mandatory security requirements for securing high-risk physical assets

  • Follow SOPs and control measures and update as needed
  • Maintain inventory organization and order office supplies (i.e., paper clips, labels, stamps, envelopes, paper, ink, etc.)
  • Prepare status reports for work performed
  • Data entry as needed
  • Other projects and responsibilities as needed
  • During peak times during the year (January, April, July, and October) you may be required to work additional hours.
  • During non-peak times you may be required to support other teams (i.e. triaging customer inquiries, case work, special projects.)
  • Fulfill print and mail jobs for other teams, intake work and deliver in a timely manner
  • Assist EA staff with mail room needs as required
  • What You Need to Get the Job Done

  • High school diploma or equivalent
  • Proven experience in an administrative or office setting
  • Basic knowledge of office equipment, including printers, scanners, and mail-handling systems
  • Ability to prioritize tasks and work independently
  • Strong attention to detail and organizational skills
  • Ability to meet deadlines and communicate effectively
  • Ability to work with a sense of urgency and understand when to escalate concerns and quickly work with others as needed to resolve completely
  • Proficiency in Google Suite and Salesforce
  • Commitment to punctuality and reliability, ensuring tasks are completed on schedule
