We're looking for an Inside Fleet Coordinator who plays a vital role in keeping our auction facility running smoothly by managing vehicle logistics and coordinating with, buyers, sellers, and internal teams to ensure seamless vehicle flow from arrival to sale. Your Day-to-Day Adventures

  • Maintain exceptional attention to detail while managing multiple responsibilities in a fast-paced environment
  • Post charges and fees accurately in system
  • Communicate daily with clients via email and phone to provide updates
  • Coordinate and schedule vehicle transportation and logistics
  • Input and update sale announcements, verify condition report accuracy, and vehicle information in auction software
  • Verify and cross-check condition reports for accuracy and completeness
  • Collaborate with mechanics and team members to coordinate vehicle repairs and obtain necessary approvals
  • Track vehicle progress from arrival through sale, ensuring all required documents and titles are present
  • Partner with accounting department to ensure sale proceeds and funds are processed timely and accurately
  • Demonstrate strong communication skills across all interactions with clients, vendors, and internal teams

What We're Looking For (The Must-Haves)

  • High school diploma or equivalent required
  • 2+ years of administrative or operations coordination experience
  • Experience with automotive, logistics, or auction industries preferred
  • Proficiency with database or auction management software is a plus
  • Track record of managing multi-step processes and workflows
  • Knowledge of vehicle condition reports and experience processing automotive titles is a plus
  • Exceptional attention to detail and accuracy in data entry
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines in fast-paced environments
  • Advanced proficiency in Microsoft Office Suite (Excel, Outlook, Word)
  • Quick learner with strong technical aptitude for new software systems
  • Superior organizational and time management abilities
  • Self-motivated with ability to work independently and exercise sound judgment
  • Proven collaboration skills across cross-functional teams
  • Thrives under pressure and adapts to changing priorities
  • Background in accounts receivable or billing – helpful
  • Valid unrestricted driver's license with clean driving record
  • Legal authorization to work in the U.S. and ability to pass background check and drug screening
