Job Description

The Project Administrator – Billing Specialist supports project teams by managing administrative tasks, coordinating project documentation, and ensuring accurate and timely billing. This role bridges project execution and financial operations, helping maintain compliance, budget accuracy, and client satisfaction.

Key Responsibilities :

• Provide administrative support to project managers and teams throughout the project lifecycle.
• Prepare, review, and submit client invoices in accordance with contract terms and billing schedules.
• Track project budgets, expenses, and billing milestones.
• Maintain organized records of contracts, change orders, purchase orders, and billing documentation.
• Assist in the preparation of project reports, status updates, and financial summaries.
• Communicate with clients and internal departments regarding billing inquiries and discrepancies.
• Monitor project timelines and deliverables to ensure billing aligns with progress.
• Support month-end and year-end financial close processes related to projects.
• Coordinate with accounting and finance teams to ensure accurate revenue recognition.
• Help identify process improvements for billing and project administration workflows.

Pay and Benefits

The pay range for this position is $22.00 - $24.00 / hr.
