Position Summary : This is a staffing position that ensures Nursing Service staff such as MHTs, RNs, and LPNs are staffed to met the facility needs. Schedule employees for core shifts, overtime shifts, training, trips, and other areas the facility may need. Assist with scheduling employees in other departments as needed for the department’s needs. Communicates with employees their schedule, schedule changes, and scheduled training times. Maintains and monitors staffing using staffing phone. Monitors, gets approval from DON / ADON, and schedules based on employee vacancies, request off – PTO, call outs, overtime, and training. Communicates with employees about their approved or denied request off working with management to ensure their request are honored accordingly within a timely manner. Manages the attendance tracking for Nursing as well as sends out corrective action notices working along with the HR department to ensure attendance is followed per policy and facility needs. Tracks, logs, and types corrective actions for lunch mispunch. Helps HR monitor and update the position control for Nursing. Tracks department changes emailing Payroll updated employee department changes to ensure employees are in the proper departments while working. Reports all issues with staffing to the management team, attends daily meetings, and any other areas / meetings to ensure communication about staffing is always up to date. Collect and file by date the 24-hour report, daily assignments sheets, daily ward census and legal status for all unit.
Essential Functions :
Minimum Qualifications :
Education : Bachelor’s Degree preferred; High School Diploma / GED and a minimum of two (2) years working in staffing, clerical, scheduling and / or administration
Experience : At least two (2) years working in staffing, clerical, scheduling and / or administration skills; type at least 45-50 wpm, knowledge of Microsoft Suite especially excel, and exceptional customer service skills
Competency : N / A
Licensure / Certification : CPR and CPI certifications preferred as needed
Other : Ability to maintain information as highly confidential; excellent customer service skills; familiarity with medical and psychological terminology preferred; skills in dealing courteously with the public and other staff within the organization; basic knowledge of human behavior or principles of psychology useful; skills in prioritizing and in managing time; problem-solving skills; use of appropriate social skills, including demonstration and respect for staff and patients; empathy towards patients; experience with patients is highly desired; skills in teaching or assisting with activities of daily living helpful. Ability to conduct educational and treatment groups and to accurately document same; must be able to function in a crisis situation without over-reacting; must have ability to control emotions at all times and display sound mental and emotional demeanor at all times; ability to write and communicate adequately.
