Job Title : General Office / Intake Coordinator
Location : Salem, Oregon
Salary : From $23.00 per hour
Hours : Full-time (35-40 hours per week)
OVERVIEW The Intake Support Assistant provides flexible coverage and support, including the Advocacy Office, Shelter and Administrative Services. This position fills in for the Resident Services Advocate and Intake Coordinator during absences, high-demand periods, or special projects to ensure consistent, trauma-informed services and smooth daily operations. The Intake Support Assistant plays a vital role in sustaining a welcoming, safe, and organized environment for survivors, residents, and visitors. The role requires adaptability, professionalism, and strong communication skills, along with the ability to collaborate effectively across teams and adjust to changing priorities.
Key Responsibilities
Coverage and Direct Service - Provide coverage for Resident Services Advocate and Intake Coordinator as needed, ensuring continuity of services for clients, residents, and callers.
- Greet and assist residents, clients, and visitors with professionalism and compassion, ensuring a welcoming and trauma-informed environment.
- Support youth, families, and individuals by providing advocacy, resources, and referrals when serving in coverage roles.
- Maintain confidentiality and ensure accurate, up-to-date documentation of client interactions and program activities.
- Provide front desk coverage while staff attend meetings to ensure continuous reception and client support.
- Assist with setup, logistics, and general support for agency support groups and the seasonal Volunteer Training Program.
Administrative Support
Manage lobby and entry areas during coverage periods, ensuring an organized and inviting space for participants and visitors.Assist with mail processing, inventory tracking, supply organization, and other administrative tasks as assigned.Support coordination of community partnerships, donations, and special projects as directed by supervisors.Maintain data, occupancy, and reporting systems as trained and assigned when providing coverage.Agency Support and Special Projects
Assist in special projects, events, and initiatives across programs to support agency goals.Participate in ongoing training, meetings, and professional development as required.Communicate effectively with supervisors and team members to ensure smooth transitions when assuming or relinquishing coverage duties.Maintain flexibility to work in various departments or shifts based on agency needs, including occasional evenings and weekends.Basic Skills
Demonstrated telephone and computer skills (specifically Microsoft Office suite, including Word, Excel, and Outlook).Ability to operate a multi-line phone.Exceptional customer service skills and communication skills (both verbal and written).Coordinating urgent services to individuals who are undergoing stressful situations while remaining calm and professional.Success at managing a wide array of tasks and projects and an ability to thrive in a fast-paced work environmentUnderstanding of Victim Services Advocacy
Completion of Advocacy Training through the organization.Commitment to ongoing self-development and awareness.Required
Access to a car, valid driver's license, and current auto insurance.Successful background check (as required by funders).Preferred Spanish or American Sign Language proficiency (Spanish fluency pay differential offered).Schedule : Primarily Monday-Friday, with an 8-hour day shift; night shift and weekend availability as needed.
