Position Summary
The OSA – Imaging Operator is a key member of the Electronic Closing Binder (ECB) Team within Office Services, responsible for creating, editing, and finalizing high-quality electronic binders for attorneys, clients, and transaction teams. This role blends document lifecycle expertise with advanced imaging / e-discovery tools , ensuring deliverables meet the Firm’s global client service standards. Operators must be detail-oriented, tech-savvy, and confident in working across offices, while upholding the firm’s confidentiality and accuracy expectations.
Core Responsibilities
- Manage the end-to-end ECB lifecycle : receipt, review, scanning, OCR, indexing, hyperlinking, QC, and final delivery.
- Use Adobe Acrobat Pro and firm platforms to create polished, client-ready binders with accurate bookmarks, tables of contents, and file naming conventions.
- Apply E-Discovery / Imaging tools (IPro, LAW, Kofax, EDS platforms) for batch printing, processing, and file conversion as needed.
- Identify and correct discrepancies in dates, deal names, document names, and metadata to ensure binders match the official index or closing checklist.
- Perform quality control (QC) reviews of complex documents, exhibits, and signature pages, flagging errors and ensuring consistency across large binder sets.
- Convert and manipulate files across formats (Word ↔ PDF, Excel ↔ PDF, searchable OCR PDFs, etc.).
- Collaborate with attorneys, paralegals, and knowledge management teams to clarify unclear requests and resolve conflicts in instructions.
- Work closely with colleagues across offices to coordinate workload and standardize practices.
- Provide secondary support for reprographics, scanning, and imaging tasks as required.
- Uphold confidentiality, data security, and client service excellence at all times.
Experience & Skills Required
Advanced proficiency with Adobe Acrobat Pro (bookmarking, hyperlinking, file naming, OCR).Familiarity with PDF management tools, Excel, and batch printing workflows.Experience with document management systems (iManage, NetDocs, or equivalent).Strong attention to detail ; proven ability to spot errors in dates, names, and metadata.Effective written and verbal communication skills ; able to clarify instructions and explain processes confidently.Comfortable working independently and in a team , across multiple office locations.Flexible, client-oriented mindset with ability to prioritize and meet strict deadlines.Preferred Attributes
Law firm or professional services experience is required.E-Discovery / Imaging exposure preferred : EDS, IPro, LAW, Kofax.Confident but approachable, with the ability to break down complex information for attorneys and staff.High degree of professionalism, discretion, and judgment when handling sensitive legal files.Job Type : Full-time
