Education Programs Coordinator
The Education Programs Coordinator provides comprehensive support for Continuing Medical Education (CME) programs (Grand Rounds), the UCSF-Proctor Clinician Vision Scholars K-12 program, Non-ACGME Clinical Fellowships, and ACGME Residency Programs within the Department of Ophthalmology. The Education Department includes Continuing Medical Education (Grand Rounds & Case Presentations), Medical Student Education, and Residency and Fellowship Programs.
The Coordinator will partner with Program Administrators and Program Director(s) to ensure educational programs run smoothly, efficiently, and professionally while managing multiple priorities. This role serves as the main liaison / resource for Grand Rounds and provides support for Residency and Fellowship Programs. Key responsibilities include coordination of the weekly Grand Rounds series, recruitment and onboarding support, event planning, website content management, and general administrative support such as scheduling, reimbursements, purchasing, and correspondence with UCSF faculty, trainees, and guest faculty. The Coordinator also develops and maintains program processes and documentation to meet accreditation and regulatory requirements while applying policy and procedural knowledge to support health education learners.
Key Responsibilities
Continuing Medical Education / Grand Rounds : Coordinate the weekly Grand Rounds and Case Presentations (September-June); manage invitations, scheduling, and timely communication with faculty and guest speakers; provide A / V support and process reimbursements; serve as primary contact for Grand Rounds.
Program Support & Documentation : Maintain CME, GME, and K-12 program files, including learner files and accreditation documentation; ensure administrative, financial, and operational compliance with accreditation standards, University policies, and regulatory requirements; prepare reports and follow up as necessary.
Learner Support : Act as a point of contact for prospective and current learners, faculty, and other stakeholders; answer program-related questions and assist with training verifications for current and past trainees.
Event Coordination : Organize and execute education program events such as recruitment, orientation, graduation, conferences, and simulation / assessment activities; manage logistics, vendor relations, and procurement.
Evaluation & Reporting : Develop program and curricular evaluation tools, timelines, and reports; generate regular evaluation summaries for faculty and leadership.
Financial Support : Assist in projecting costs, tracking budgets, and monitoring financial operations; process reimbursements and ensure timely payments for learners and program activities.
Collaboration & Team Support : Foster collaboration across specialties and programs; participate in departmental work groups, task forces, and committees to advance education program goals.
Communications & Marketing : Maintain and update program websites, brochures, syllabi, and other program materials; assist with journal submissions, program marketing, and communication lists.
HR & Compliance Support : Assist with HR-related processes including onboarding, credentialing, payroll tracking, benefits advising, and Medicare reimbursement reporting; manage employment verifications, training grants, and related administrative tasks.
Technology & Systems : Respond to inquiries related to educational technology and troubleshoot user issues; monitor user experience and streamline processes through technology.
Special Projects & Backup Support : Support projects aimed at improving educational and administrative operations; serve as backup for Residency and Fellowship Program administration.

Department Description
UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.
Required Qualifications
Preferred Qualifications
Knowledge of educational technology and systems, with the ability to troubleshoot and triage related technology issues.
Prior event planning experience.
Experience providing audiovisual support for large onsite meetings, including familiarity with Crestron systems.
Demonstrated experience with a Graduate Medical Education Office (GME).
Demonstrated experience with credentialing through a Medical Staff Office.
Ability to understand and clearly communicate California Medical Board licensing requirements.
Experience working in a large institution with strong understanding of academic processes, specifically in fellowship and / or continuing medical education programs.
