Administrative Assistant
To assist a high level state official by performing the most complex administrative and supportive tasks involved in the implementation and administration of major projects and programs whose effects encompass all departments and agencies of state government; and to do related work as required. Works under the general direction of a high level state official from whom work assignments are received; work is reviewed usually upon completion for performance of assignments as directed. Supervises clerical and other supportive staff assigned to assist.

Required qualifications for appointment include :
A thorough knowledge of the principles and practices of public administration; a thorough knowledge of the principles and practices of modern office management, and the ability to apply such principles and practices; the ability to establish and maintain effective working relations with personnel; a thorough knowledge of the principles and practices of effective implementation procedures for policies and procedures; the ability to prepare accurate and concise written reports; and related capacities and abilities.
Education such as may have been gained through : successful completion of at least two years of academic study in an accredited institution of higher education; and experience such as may have been gained through : considerable employment in a supervisory position in state government assisting a high level state official performing complex administrative and supportive tasks involved in the implementation and administration of major projects and programs that had effect on all departments or agencies. Or, any combination of education and experience that shall be substantially equivalent to the above education and experience.

Responsibilities for this position fall within the Governor's Workforce Board. This role includes being adept in various administrative and programmatic supports, including assisting in preparing for all GWB board and committee meetings throughout the year. This entails sending and responding to board and committee emails as well as the preparation of all aspects of the planning of these meetings. This position will track attendance for members and takes meeting minutes. Assistance with the planning of all events, to include the GWB Annual Event, retreat and other conferences fall within this position's purview. Assisting in the review and editing of all publications, brochure, GWB program documents, etc. prior to publication or distribution.
A critical skill in this role is having strong communication skills. Developing strong working relationships is essential in working with RIDLT Comms department along with other internal and external agencies. This includes maintaining the constant contact email lists and tracking registrant responses across all programs falling under the Governor's Workforce Board. This position will monitor the program delegated email and phone inboxes for follow-up with appropriate GWB staff and providing notifications at a regular cadence.
This role will have knowledge in following State Purchasing protocol and assist with FA270 and credit card requests for subscriptions, office supplies, MPA orders, travel, printing services, trainings, booth or other space rentals, etc. for the GWB.
Processing staff weeklies and monthlies as needed.
Other duties as needed.
