Athletic Scheduler

The Finance Division manages SPR's accounting, contracting, event and athletic scheduling, and our customer program scheduling portal (Active Net). The Division administratively supports our other SPR divisions (Recreation; Planning, Development & Maintenance; Parks & Environment, Human Resources, Policy) and focuses externally to support our community with excellent customer experiences for athletic and event permitting.

This position will report to the Athletics Senior Scheduler on the Athletics Scheduling team in the Finance Division. The Athletic Scheduling office is responsible for issuing permits covering a wide range of services in our community to gain access to various athletic fields and indoor rentals for public and private uses. Our office issues about 2,400 field permits and over 200 indoor rental permits each year which can include various sports use including tournaments, film permits, indoor (rentals) childcare, park events and many other activities that help build community, encourage interactions of diverse groups, and enrich the lives of our residents.

SPR is seeking a creative and motivated individual to take a scheduler role in the Athletic Scheduling office.

Job Responsibilities

  • Schedule, permit, coordinate, and review activities (athletics, childcare, out of school time programs, recreational activities) on SPR and Seattle Public School indoor and outdoor facilities.
  • Use and maintain a variety of computer software and applications for permitting, keeping records, gathering information and entering data, maintain / update digital files and creating reports.
  • Regularly engage in clear, collaborative, and inclusive communication with internal and external partnersincluding Seattle Public Schools, community organizations, and Seattle Parks and Recreation staffwhile effectively responding to both routine and complex customer inquiries and issues.
  • Provide oversight for permit billing and accounts receivable and contribute to joint use agreement negotiations.
  • Work closely and respectfully with people from a broad range of cultural backgrounds.
  • Manage and implement existing scheduling processes.
  • Develop, maintain, and generate reports for permit tracking.
  • Review applications and requests to determine compatibility of events / rentals with facilities and playfields, schedule and meet with colleagues and user groups to explain fees, and other regulations and policies.
  • Provide efficient, timely, quality customer service.
  • Maintain a positive, professional, and respectful work environment while emphasizing cooperation, information sharing, and good problem-solving skills.
  • Prepare and deliver permit revenue deposits to the bank.
  • Perform related duties as required

Qualifications

Minimum Qualifications :

  • Two years' experience in clerical, accounting technician, or data entry work involving public contact (or a combination of education and / or training and / or experience which provides an equivalent background required to perform the work of the class.)
  • Desired Qualifications - You will be successful if you have the following experience, skills, and abilities :

  • The successful candidate will be organized, extremely detail-oriented, adept at problem solving with limited supervision, and be able to maintain composure (and high-level performance) under repetitive circumstances.
  • Experience working with diverse communities including economic, ethnic, age, gender, religion, and sexual orientation.
  • In a windows-based environment and with the ActiveNet system software and MasterLibrary.
  • Effectively dealing with permitting and complex usage regulations and requirements, and scheduling indoor facilities, playfields, and parks.
  • Exercising good judgment in addressing complex issues that may involve multiple competing goals.
  • Working with partners and / or stakeholders to hold them accountable to meet deadlines.
  • Navigating challenging conversations, asking good questions, and answering e-mails.
  • Creativity and self-starting readiness to research and try new ideas.
  • The full salary range for this position is $36.92 to $42.96 per hour.
