Job Title : Human Resources and Office Assistant
Status : Full Time – Non-Exempt
Reporting To : Human Resources Manager
Position Purpose :
The Human Resources and Office Assistant exists to support the Human Resources Department and greater company in tasks of an organizational and clerical nature. This position will also serve as the receptionist at the front desk of Harland’s main entrance.
Responsibilities : Human Resources :
- Perform various tasks that support the payroll process
- Coordinate and prepare onboarding documents, desks, etc. for new hires
- Support Recruitment responsibilities by managing candidate communication, scheduling interviews, circulating resumes and following up with internal stakeholders
- Collaborate with the HR team to support the implementation of HR policies, procedures and process improvements
- Serves as a contact for employees and managers regarding payroll related items
- Ensure all employees have time entered each pay period and follow up directly with employees
- Perform administrative duties such as maintaining employee databases, files, various reports and HR related documents
- Assist in organizing, coordinating and communicating culture and team building events / initiatives
- Serve as a point of contact for employee inquiries and concerns, providing timely and effective responses and resolutions
- Maintains confidentiality in handling sensitive employee and company information
- Prepare and assist with various HR related communications
- Support the HR department in other related duties as assigned
Office :
Serve as the primary receptionist, greeting guests warmly and providing a welcoming environmentEnsure the lobby is presentable and comfortable for guests, regularly check and restock snacks and beverages, and maintain a clean refreshment areaAnswer and screen phone calls, directing them to the appropriate individualsSort incoming mail and deliver it to the relevant person or departmentTake inventory, organize, and order basic office supplies for the companyStock and maintain coffee stations throughout the buildingEnsure conference rooms are presentable and ready for guests and customer visitsRun miscellaneous errandsPerform other related duties as assignedEducation, Qualifications and Experience :
Bachelor’s degree in human resources or related field preferredPrevious experience as an HR Assistant, Office Assistant, or Administrative Assistant preferredStrong computer skills (Microsoft Office, Excel, PowerPoint to be specific)Must be a self-starterMust be able to work independently and as part of a teamMust have the ability to take direction and follow plansExcellent customer-facing skills (internal and external customers)Must be able to organize, prioritize, and multi-taskCommunication and attention to detail is essentialWorking Conditions and Health & Safety :
