Virtual Assistant

The client is a design-build company that focuses on building beautiful single-family homes in New York and New Jersey. They handle everything from design to construction, making sure every project is done with care, creativity, and attention to detail.

Job Description

Create and manage bid invitations to subcontractors and vendors within Buildertrend

Upload, organize, and maintain project documents, correspondence, and records

Draft and issue purchase orders (POs) and change orders (COs), ensuring accuracy and alignment with project budgets

Track change order approvals and coordinate internal follow-ups for timely execution

Verify and release subcontractor and vendor invoices, ensuring alignment with POs and COs

Enter vendor bills and reconcile them against purchase orders for accounting accuracy

Perform digital material takeoffs for finish and construction items using Bluebeam to support procurement and budgeting

Assist with sourcing, ordering, and tracking delivery of finish materials

Monitor and collect Certificates of Insurance (COI) and subcontractor agreements to maintain compliance

Provide administrative and operational support to the Construction Manager and Project Manager

Must Haves

2+ years of experience in construction administration or coordination.

Proficiency in Buildertrend or similar project management software.

Proficiency in Bluebeam Revu for material takeoffs and markups.

Knowledge of QuickBooks Online preferred.

Strong attention to detail, organization, and task management.

Excellent written and verbal communication skills.

Comfortable working independently and remotely in EST time zone.

Only open to Filipinos currently residing in the Philippines.

Home Office Requirements
