Job Brief
Kable Workforce Solutions is hiring a Contract Order Initiation Specialist for our client. This job involves managing new machine orders from sales through setup, tracking, and completion in SAP. Responsibilities include reviewing order paperwork for accuracy, coordinating with sales and accounting, setting up projects in SAP, maintaining documentation, and managing project change orders to ensure compliance with company and accounting standards.
What’s a Typical Day Like?
- Review of new machine order paperwork received from sales to ensure all information is complete and accurate.
- In items found to be incorrect communicate with sales or inside sales requesting corrections
- Obtain sales and credit approval for each order.
- Setup of project builds in SAP for all new machine turnkey and integration project orders based on defined guidelines to comply with the required revenue recognition rules.
- Entry of budget in SAP from PV1 tool for each machine order.
- Project planning of revenue and cost using PV1 tool for each machine order.
- Consider transfer pricing requirements for machines sold through the Canadian and Mexican entities as it relates to project setup and sales order request.
- Submission of accurate and complete sales order requests to accounting. (Entry of Sales order info into BOT using newly designed ODS)
- Maintenance of all required support for each machine order on the project SharePoint site and Jira site
- Management of all machine change orders which includes :
- Creating an updated version of the PV1 file to adjust for the change.
- Adding to / updating the project build in SAP.
- Updating PV1 revenue and / or plan costs in SAP.
- Updating budget in SAP.
- Sending change order request to designated team so that the sales order can be updated timely. Submit manual change order to accounting until BOT is ready to process change orders.
- Uploading supporting documentation to the active project’s SharePoint site and setting status of tasks in Jira
- Review open MC projects to determine those that are fully complete from an operations perspective and should be added to the
- Accounting TECO list for final accounting review. (Working with Install Team, Material, purchasing to confirm all aspects of the TECO process are complete)
- PV1 option review to determine obligations on projects that should be set TECO at each month end.
- This could include review of materials, DIFs, etc.
What Are the Requirements of the Job?
Detailed knowledge of the SAP project structure and SAP reporting / navigation.Company Product Structure expertise.SharePoint and Jira experienceCollege degree preferred.3 plus years SAP Project module experience.3 years’ experience working in a Microsoft Office, Excel, administrative / collaboration skills and SharePoint environment.Some basic accounting admin experience, SharePoint and Jira experience desiredAbility to work in a fast-paced environment.Ability to move or lift to 50+ lbs.Ability to reach, grasp, hold, push, pull, bend, twist, squat, climb, kneel.Ability to utilize hand / eye coordination.Capability to stand for prolonged periods of timeCommunication skillsWhy Choose Kable Workforce Solutions?
