Position Description

Job Purpose

This position is responsible for all mailroom related operations, as well as a variety of administrative duties that support the

HR Department and management team. Regular, predictable, reliable attendance, and punctuality are essential job

functions.

Essential Duties and Responsibilities

  • Essential duties and other responsibilities include, but are not limited to, the following :
  • Pick up and drop off the daily mail.
  • Drive a company vehicle multiple times per day as needed.
  • Open, date-stamp, and distribute mail and deliveries.
  • Process incoming and outgoing mail and packages.
  • Distribute mail to division offices and departments.
  • Manage package delivery software.
  • Track packages and record the arrival of mail.
  • Resolve mail and package delays with couriers.
  • Fold letters and year-end documents and insert them into envelopes for distribution.
  • Operate mailroom machines and postage meter.
  • Perform routine maintenance on office machines (changing toner, refilling paper, etc.) and call for necessary repairs.
  • Maintain inventory of mailroom supplies.
  • Stock, monitor, and order office supplies (stationery, mailing supplies, office machine supplies, coffee, and breakroom
  • supplies, etc.).
  • Place orders with vendors and manage items once delivered.
  • Coordinate scheduling, setup, and cleanup of conference rooms.
  • Pick up campus lunches.
  • Assist with incoming calls and direct calls accordingly.
  • Assist with employee event planning (setup / takedown / errands).
  • Assist the HR Department with projects on an as-needed basis.

    with professional office procedures; Basic arithmetic; responsible administrative, secretarial and / or clerical experience

    including computer applications and maintenance of electronic personnel records.
