Compensation : Hourly base pay rate is $23.51 - $35.24 / hour, dependent on factors such as location and selected candidate's expertise. Additional compensation may be available, including commission and / or incentive programs.
Job Description :
- Accurately input essential vehicle data into the AS 400 system by reviewing Condition Reports and Work Orders from reconstruction shops. Ensure vehicles are marked certified and announcements are updated.
- Build and maintain relationships with internal and external business partners to effectively support auction operations from start to finish, including clear communication with customers.
- Proactively follow up on vehicle readiness for sale by reconciling incoming bills and ensuring all information is complete, collaborating with customer coordinators and service vendors as necessary.
- Respond promptly to customer inquiries regarding vehicles, delivering quality service and effective problem resolution.
- Manage consignment inventory information, investigate transmission errors, and verify vehicle eligibility for sales, providing customers with inventory reconciliation reports.
- Create and maintain comprehensive customer vehicle files, updating records consistently with standardized abbreviations to reflect vehicle status accurately.
- Seek floor price information from account representatives and input this data into the system.
- Prepare for sale processes in coordination with account representatives, including run orders, scheduling, and customer notifications.
- Ensure accurate documentation of all activities related to each customer vehicle by maintaining and updating physical vehicle inventory files.
- Collaborate with accounting and commercial teams to balance sales and manage post-sale invoicing as needed.
- Prepare various reports in accordance with client agreements.
- Run Autocheck for inventory to identify necessary announcements during sales to minimize arbitration issues.
- Coordinate with arbitration on pending units for updates and keep clients informed throughout the process.
- Navigate multiple systems and applications, including client-specific systems (UVIS, RIMS, etc.), to complete tasks effectively.
- Audit vehicle records in partnership with the Posting and Procurement teams to ensure accuracy in contractual rates and expense posting.
- Process and post payments received from clients, including necessary adjustments.
- Work with the Ready team to manage aging pickup records and ensure adherence to SLAs and ETAs.
- Monitor aged titles to confirm vehicle qualification and reduce cycle times, collaborating with Front Office on title issues.
- Assist client redemption customers by scheduling appointments and facilitating unit returns to the repo lot.
- Partner with Auction Dispatchers regarding units sold to dealerships and update clients accordingly.
- Manage and reconcile inventory records for upstream sales, marshalled units, and duplicates.
- Collaborate with various departments to ensure compliance with regulatory requirements.
- Demonstrate a commitment to safety by following all procedures and participating in safety activities.
- Perform other duties as assigned by management.
Qualifications : Minimum :
High School Diploma / GED with 3 years of experience in a related field, or an alternative education / experience combination such as any degree in a related discipline or 5 years of related field experience.Preferred :
Associate Degree is a plus.1 to 3 years of clerical or administrative experience in the automotive industry preferred.Experience with data entry and general title management is advantageous.Strong communication, problem-solving, and organizational skills are essential.Proficiency in Microsoft Excel, Word, and Outlook is required.Physical ability to sit or stand for extended periods, perform repetitive tasks, and possess necessary vision capabilities.Commitment to delivering outstanding customer service is crucial.Work Environment : Office setting.
