The Orthodontic Treatment Coordinator plays a vital role in patient care and practice success by guiding patients through the treatment process. They act as the liaison between patients, clinical staff, and the orthodontist, ensuring a positive, informed, and supportive experience from consultation to treatment start.
Key Responsibilities :
Welcome new patients and guide them through the consultation process.
Explain orthodontic treatment plans, procedures, and expected outcomes.Review and discuss treatment options, benefits, and financial arrangements.Answer patient questions and address concerns in a professional and empathetic manner.Scheduling & Coordination :Schedule appointments and follow-ups related to treatment start.
Coordinate with clinical staff to ensure smooth transitions from consultation to clinical care.Ensure timely follow-up with patients who are pending treatment decisions.Financial & Insurance :Present financial options and explain payment plans.
Coordinate with billing staff to ensure accurate insurance verification and financial estimates.Ensure signed financial agreements and consent forms are collected and filed properly.Administrative Duties :Maintain detailed and accurate records of consultations, decisions, and patient communication.
Monitor and update patient tracking systems (e.g., pending starts, follow-ups).Assist with marketing and community outreach as needed.Customer Service :Maintain a welcoming, friendly, and professional environment.
Support patients and families emotionally and logistically throughout the treatment process.Qualifications :
High School Diploma or GED required; Associate or Bachelor’s degree preferred.Previous experience in orthodontics, dental, or medical office preferred.Strong interpersonal and communication skills.Excellent organizational and time-management abilities.Knowledge of orthodontic procedures and terminology (preferred).Experience with dental / medical software (e.g., Dolphin, Orthotrac, Dentrix) is a plus.Key Competencies :
