Executive Assistant

The Executive Assistant will be responsible for providing executive administrative support, managing day-to-day operations and scheduling for several Senior Leaders. The Executive Assistant's role will include a broad range of tactical and strategic support activities, professionally representing Planet Fitness, exercising confidentiality, discretion, and strong judgement in a variety of areas.

This role will be based out of our Hampton, NH office and will be expected to follow our hybrid work schedule.

Responsibilities

  • Calendar Management : Manage and maintain Executive's daily and long-term calendars for both internal and external meetings. Anticipate obstacles and quickly respond to constant change.
  • Travel Management : Manage Executive's travel itineraries and coordinate air travel, ground transportation, lodging, meals, meeting reservations and booking of activities. Travel management requires responsiveness to heavy and changing demands.
  • Meeting Planning : Assist with preparations for internal and external meetings including gathering agendas, conference room preparations, and ordering / buying / serving beverages, meals, snacks for Executives and guests.
  • Correspondence Screening : Compose correspondence, presentations, memos, and various reports for the Executive team. This includes proofreading, attention to accuracy and ensuring professionalism of all materials and presentations.
  • Information Management : Process highly confidential and critical information on a routine basis with complete discretion. Make decisions and provide guidance on behalf of Executives where appropriate.
  • Operational Support : Manage, audit, and submit expense reports for Executives. Reconcile credit card bills with receipts. Support department initiatives, meetings and events, including logistics and material preparation. Partner with other Executive Assistants to ensure alignment and coverage across leadership teams.
  • Special Projects : Additional duties and responsibilities which may arise at the request of the Executives.
  • Must be flexible and have an on-call mentality, responding to issues that may arise after hours.
  • May attend meetings and travel with the Executives as requested.

Qualifications

  • Bachelor's Degree required
  • 5+ years of experience in a corporate setting supporting Executives
  • Technologically savvy with advanced computer proficiency with Microsoft Suite. High focus on calendar management
  • Ability to effectively interact with staff (at all levels) in a fast-paced environment, with a high level of professionalism, poise, and confidentiality
  • Outstanding organizational skills with an ability to balance multiple priorities and keep the Executive on track and on schedule
  • Exhibit an on-call mentality with extreme flexibility to ensure meetings, dinners, travel etc. are running smoothly and efficiently
  • Self-motivated and proactive around the needs of the Executive
  • Strong judgment and decision-making ability. Resourceful problem solver
  • Strong business acumen with a track record of success in gathering, analyzing, and organizing complex information from several sources to compose materials for distribution / presentation
  • Outstanding interpersonal and customer service skills
  • Ability to recognize and appropriately handle highly sensitive and confidential material and information
  • Strong sense of urgency and efficiency in completing tasks
  • Extremely detail-oriented, efficient, and organized with an exceptional ability to establish priorities and objectives
  • Superior communication skills along with the ability to communicate effectively across all levels of the organization
  • Able to establish and maintain effective, collaborative work relationships with diverse individuals, internally and externally
  • Dedicated learner with a natural curiosity for consistent growth
