Temporary Seasonal Office Assistant II
This position is responsible for providing customer service, administrative and maintenance support to the Miller Community & Recreation Center for the Parks, Recreation & Waterfront department and for maintaining daily programmatic and facility operations evenings and weekends. In addition, this position is responsible for providing support to internal parks staff and BPRW programming. Union Affiliation : Non-Union Pay Grade : $24.26 Hourly Remote Tier 1 : Zero (0) days remote / week
Essential Job Functions
- Respond to public inquiries, requests for facility reservation and complaints regarding Parks, Recreation and Waterfront and other City services in a professional, timely and friendly manner. Refer more complex questions, complaints and concerns to other appropriate City personnel or City department in a professional, timely and friendly manner.
- Communicate directly with the public via phone calls, direct emails, and in person inquiries about Department programs and initiatives.
- Register public for programs, collect and input payments.
- Balance daily sales for programs, and facility reservations, including any associated reporting to facilitate deposits. Reserve facility spaces for public and user groups, collect and input payments.
- Prepare facility for daily reservations, to include setting up tables, chairs, AV system, bleachers, etc.
- Communicate and coordinate user needs with facility manager and custodian.
- Take down facility after daily reservations, to include taking down tables, chairs and bleachers, emptying trash and recycling, sweeping, mopping or vacuuming floors.
- Replenish supplies of all restroom dispensers as needed.
- Perform light cleaning as needed to include restrooms, program spaces and lobby area throughout every shift.
- Maintain and update bulletin boards and brochure racks.
- Sort and distribute incoming mail.
- Maintain monthly facility schedules.
- Maintain and stock office supplies.
- Ensure office equipment is in operating condition, coordinate repairs when needed.
- Monitor building repair and maintenance needs, communicate and coordinate with appropriate staff.
- Act as liaison for program participants, program instructors and staff.
- Perform point-of-sale transactions using specialized software.
- Assist with preparation and execution of programs and special events.
- Ensure building security by vacating building occupants, securing doors and reporting unusual events to supervisor.
- Clear walkways and entryway of snow and ice using manual and mechanical equipment
- Maintain exterior and interior plantings.
- Program building thermostats, clocks and security control box for parking lot.
- Conduct monthly fire safety inspections.
- Report all incidents and accidents and administer first aid as required.
- General administrative support for BPRW and specifically, Customer Service Associate.
Qualifications / Basic Job Requirements
Ability to actively support City diversity, equity, and cultural competency efforts within state job responsibilities and work effectively across diverse cultures and constituencies.Demonstrated commitment to diversity, equity and inclusion as evidenced by ongoing trainings and professional development.Availability evenings and weekends primarily, with some daytime coverage.High School diploma or equivalent and one (1) year experience in an administration office environment with an emphasis in customer service required.Must be able to work independently and as part of the customer service team in a fast paced, complex detail-oriented office environment that features any repetitive tasks and deadlines.Outstanding customer service and communications skills required.Knowledge of recreation facility operations preferred.Ability to communicate effectively both orally and in writing.Previous experience with point-of-sale and program registration programs preferred.Ability to adjust to flexible work assignments and hours.Must be able to work nights and weekends.Ability to provide direction and / or work to volunteers and temporary employees.Ability to maintain positive work relationships in a busy office environment.Must be able to operate standard and computerized office equipment.Ability to operate in a Windows based operating environment using word-processing, spreadsheets and specialized database software required.Ability to operate TTY line and provide appropriate information / routing.Regular attendance is necessary and is essential to meeting the expectations of the job functions.Ability to understand and comply with City standards, safety rules and personnel policies.Ability to obtain a valid driver's license within 45 days of hire and the continue maintenance of a valid driver's license.
