Job Summary

Involves managing or performing administrative services or managing the full general operations of an academic or non-academic organization. Administrative services include activities in finance and human resources and may also include IT, facilities, or student services. General management activities include long and short range strategic planning in determining the mission and directing all activities of multi-disciplinary departments through subordinate management of staff.

The Executive Analyst is responsible for providing high-level executive, project coordination, and operational support to a senior faculty member, Executive Vice Chair of Adult Anesthesia and Chief of Anesthesia at ZSFGH. The Executive Analyst is expected to act autonomously to manage complex executive schedules, prepare briefing documents, coordinate stakeholder communications, and facilitate problem-solving for administrative and operational issues, including preparing travel itineraries, drafting correspondences, coordinating sensitive communications, and serve as a liaison between the executive's office and both internal and external parties, which frequently involves navigating urgent competing demands and resolving conflicts. The Executive Analyst exercises independent judgment to prioritize urgent matters, monitor long-range activities, and ensure timely responses to requests. The Executive Analyst will coordinate the full lifecycle of projects, including organizing timelines, milestones, and deliverables, identifying risks, maintaining documentation repositories, and collaborating with leadership to monitor and communicate progress toward goals. The Executive Analyst facilitates stakeholder engagement, proactively addresses challenges, and ensures the successful implementation of initiatives aligned with organizational priorities. The Executive Analyst will provide administrative and logistical support for office operations, assist with emergency planning, support community-building initiatives, and ensure a high level of client service for service requests. The Executive Analyst participates in process improvement efforts, creates and maintains Standard Operating Procedures (SOPs), and provides backup support for various administrative roles.

The ideal candidate will be client service-minded, organized, professional, and work as a reliable and flexible member of a team handling multiple responsibilities in an environment of shifting priorities. In addition, the successful candidate will demonstrate autonomy and the initiative to learn and understand policy, systems, processes, and culture. This role will work on projects that are highly sensitive or complex in nature, requiring the individual to work with a high level of independence, initiative, organization, and flexibility. This role requires the ability to juggle numerous conflicting priorities and maintain composure in the face of frequent interruptions and shifting deadlines. This role will also interact with a wide range of audiences; therefore, diplomacy, professionalism, and tact, as well as excellent verbal and written communication skills are essential. The individual must demonstrate excellent judgment in selecting methods and techniques for obtaining solutions. The Executive Analyst will be expected to learn and understand the institutions' policies (UCSF, UCSF Health, SF DPH, and other foundations, organizations, and institutions) to resolve issues and implement Division/Department policies.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $29.05 - $53.50 (Hourly Rate).

Department Description

The Department of Anesthesia and Perioperative Care at UCSF provides outstanding patient care, promotes cutting-edge basic and clinical science research, and educates the next generation of health care providers while focusing on principles of community.

The Department of Anesthesia and Perioperative Care ranks as one of the largest departments in the School of Medicine with an annual budget of $145 million. The two largest components of the annual budget are Professional Fee Income and Extramural Funds, representing 90.4% or $132 million (including ZSFG professional fees and 6.9% or $10.1 million of the annual budget respectively. Currently, the department has over 298 Faculty members, 27 Staff Physicians, 205 Staff Employees, 6 Fellows, 90 Residents, 12 Non-Faculty Academics, 11 postdocs, 68 CRNAs, and 5 Nurse Practitioners at ZSFG.

In addition to the Moffitt-Long Hospital, very active units of the department exist at the Zuckerberg San Francisco General Hospital and Trauma Center (inpatient and outpatient, including a very active trauma service), San Francisco Veterans Affairs Medical Center (inpatient and outpatient), Mt. Zion Medical Center (outpatient, including 23-hour stays and the Pain Management Center), Benioff Children's Hospital Oakland, the UCSF Orthopedic Institute and the Benioff Children's, Betty Irene Moore Women's and Bakar Cancer (NIH-designated Cancer Center) Hospitals in the Mission Bay neighborhood.

The Department now has essential roles in patient care outside of the operating rooms, with active participation in Ambulatory Care, Acute and Chronic Pain, and in the Preoperative Clinic. Over the department's fifty-plus years of existence, the department has been at the heart of modern anesthesia's explosive growth and to this day, continues to have an enormous impact on surgical practice and the management of pain. The department's research, education, and clinical care quickly earned and have maintained reputations that are equal to or better than any institution in the world. Individual members of our faculty have had a major influence on our specialty both nationally and internationally, including NIH study sections, NIH funding, FDA, and Editorial Boards. Research activities within this department are integrated with and inform clinical practice. For many years, ours has been among the top departments for NIH research funding in anesthesia in the United States.

The Department of Anesthesia provides considerable support and structure for research in general and, for research training programs, highlighted by the innovative Pathway to Scientific Independence (PSI). This program begins at the residency level, incorporating the Research Scholars Track of the Anesthesia Residency, moving through the post-residency NIH-funded T32 training grant and faculty positions with mentored research support, and ultimately achieving extramurally funded, independent researcher status.

Required Qualifications

  • Bachelor's degree in related area and/or equivalent experience/training
  • Minimum two years of experience providing executive-level support to faculty
  • Demonstrated project coordination experience/skills
  • Demonstrated expertise in MS Office applications and other commonly used software applications (e.g., DocuSign, Adobe, Qualtrics, Zoom). Ability to learn to utilize other programs as needed.
  • Demonstrated expertise in project management software (Asana, Microsoft Project, etc.)
  • Strong communication and interpersonal skills to communicate effectively with all levels of staff and faculty verbally and in writing
  • Demonstrated experience working independently with minimal supervision, using initiative, sound judgement, and resourcefulness in performing key responsibilities
  • Ability to handle sensitive materials and information with confidentiality and discretion
  • Ability to work on multiple projects simultaneously and effectively prioritize tasks with competing deadlines
  • Ability to meet deadlines in a timely and accurate manner with excellent attention to detail
  • Excellent customer service and organizational skills
  • Demonstrated excellent attendance and reliability

Preferred Qualifications

  • Knowledge of UCSF policies and procedures
  • Knowledge of UC Financial systems such as MyReports, MyExpense and BearBuy
  • Experience working in an academic medical setting and understanding best business practices
