Position Overview

This role combines operational discipline with a business-development mindset. The Project Manager constantly looks for ways to turn maintenance into margin , leveraging Gulf Coast's expansive vendor and technician resources to capture every opportunity across our 3,000+ properties and communities. They transform ideas and site reports into executable, revenue-generating projects completed on time, on budget, and to the highest standard. Working side-by-side with the Property Services Manager , this position turns field data, maintenance reports, and client requests into full project plans, ensuring that Gulf Coast Maintenance is the entity delivering the final invoice while technicians and vendors operate as subcontractors under our umbrella.

Key Responsibilities

  • Revenue Generation & Opportunity Discovery

Proactively identify revenue opportunities across the managed portfolio; from Rent Ready turnarounds and remodels to insurance claims, deferred maintenance, and capital improvement projects.

  • Cultivate relationships with property managers, CAMs, and owners to surface new project opportunities.
  • Regularly review inspection reports, maintenance logs, and owner requests to uncover additional work prospects.
  • Scope & Profitability Management
  • Convert site photos and technician reports into detailed, professional project scopes .

  • Establish a baseline of expected profitability before each job begins, adjusting labor and vendor mix to achieve target margins.
  • Track actual costs, materials, and vendor invoices to ensure consistent profit performance.
  • Project Execution
  • Oversee projects of all sizes, from quick turnarounds to complex renovations.

  • Manage scheduling and workflow between internal technicians and vendor partners.
  • Monitor progress, resolve issues in real time, and keep stakeholders informed.
  • Vendor & Technician Coordination
  • Maintain and grow the approved vendor pool, ensuring reliability, quality, and insurance compliance.

  • Strategically assign tasks between in-house techs and external vendors to balance capacity, profitability, and turnaround time.
  • Client Communication & Closeout
  • Serve as the single point of contact for clients during active projects.

  • Conduct final inspections, gather completion photos, and prepare the final invoice under the Gulf Coast Maintenance brand.
  • Reporting & Documentation
  • Maintain up-to-date project files, financials, and photo documentation within internal systems (Asana, QuickBooks, SynchroTeam, etc.).

  • Provide regular reporting on project pipeline, revenue, and margin performance.
  • Qualifications

  • 3–5 years of experience in property renovation, construction management, or project operations with direct P&L or margin responsibility.
  • Proven track record of identifying and converting project opportunities into revenue.
  • Strong estimating, budgeting, and vendor-management skills.
  • Excellent communication, negotiation, and organizational abilities.
  • Proficiency in project and financial management tools (QuickBooks, Asana, SynchroTeam, or similar).
  • Valid Florida driver's license and ability to travel to project sites as needed.
