Executive Assistant, Investments

Position Summary

The successful candidate will provide high level administrative, communication and project management support in all facets of the daily business routine for the Investments Team consisting of 4 VPs and 1 Director. The candidate will be flexible and open to unfamiliar assignments with excellent problem solving and critical thinking skills. Must handle multiple workstreams with flexible and efficient prioritization. Should be highly organized and work well both collaboratively and autonomously. Candidate will be highly resourceful, composed, and empathetic. Must thrive in a fast-paced environment and work well under the pressure of multiple competing requests within tight timelines. Hybrid schedule, 3+ days in person, at New York City office required.

Responsibilities

  • Handle heavy, complex, fluid calendar management, while proactively managing conflicts for Investments Team.
  • Effectively engage with team by staying on top of key topics, areas of focus, and prioritizing appropriately.
  • Handle meeting logistics for conferences, investor, and industry events, coordinating all aspects of participation.
  • Work closely with team to stay well informed of upcoming commitments and responsibilities.
  • Ability to anticipate the needs of the executive, the team, and the company.
  • Manage sensitive matters with a high level of confidentiality and discretion.
  • Coordinate complex domestic and international travel arrangements, researching passport and visa requirements, providing detailed itineraries.
  • Prioritize conflicting needs; handle matters expeditiously and proactively, and take projects to successful completion, often with deadline pressures.
  • Work cooperatively with the team of assistants in a positive partnership.
  • Coordinate meeting logistics, conference rooms, remote participant access, catering, and meeting materials.
  • Strategically plan, coordinate and execute events for both internal and external needs, ensuring seamless logistics, timely communication, and engaging experiences that align with our mission and objectives.
  • Primary point of contact for CDA inquiries, coordinating with legal team to full execution.
  • Regularly interface with high-profile professionals on behalf of team.
  • Responsive to emails / texts / phone calls, outside of normal business hours.
  • Track, prepare and submit expenses, invoices and purchase orders, processing in a timely manner.
  • Manage and maintain data entry in Salesforce.
  • Assist with personal requests as needed.
  • Perform other related administrative tasks as assigned and required.

Skills, Qualifications, and Requirements

  • Bachelor's degree preferred.
  • Minimum of 8-10 years' experience supporting senior level executives preferably in the Pharmaceutical / Biotech industry, Finance / Investment industry or start-up.
  • Experience in a fast-paced, high-pressure environment.
  • Experience with Salesforce, Concur, Asana, and Coupa a plus.
  • Proactive, positive, energetic, and enthusiastic personality with a can-do attitude.
  • Demonstrate alignment with company values while fostering a positive culture.
  • Flexible and resilient with an eagerness to learn, receptive to constructive feedback.
  • Team-oriented with a collaborative approach.
  • Ability to learn quickly and adapt to change with the skill to shift direction rapidly.

  • Base salary for this role will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market conditions. The expected base salary for the role will generally be between $105,000 - $130,000 per year at the commencement of employment, but the final salary offered may be outside this range based on individual circumstances and business and market conditions.

    Base salary if hired is only part of the total compensation package, which, depending on the position, may also include other components such as discretionary bonuses, equity, and Company-sponsored benefit programs.

    This position is at-will and Roivant reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance and business and market conditions.
