Job description

Primary PartnerCare Physicians, a multi-site primary care group, is opening a brand new site in the heart of Huntington and needs a seasoned Medical Office / Operations Manager to open and grow the new primary care site! We are opening with one physician and recruiting for a 2nd physician. You be involved from the ground up building this new site, overeeing the staff & all administrative / operational aspects of the care center, including the excitement of marketing a brand new care center!

Base Salary ($62,000-$70,000 based on experience) + Annual Performance Bonus $7,500

We are seeking an energetic, tech savvy professional who will take the lead on all practice operations activities such as best practices, efficient workflows, managing with data and KPIs, resolving billing issues, authorizations, chart prep, launching new service lines, and growing the practice! Additionally, you will be the face of the practice site working with the community and local healthcare providers to get our doctors known! As primary care physicians, we want to ensure our patients receive all the preventive care they are entitled to with appropriate follow-up visits, and rely on the operations manager to ensure this is happening.

In addition to these responsibilities, you will oversee quality reporting and other ACO and value-based initiatives. You will supervise all non-clinical staff such as front desk and medical assistants. We are looking for a career-oriented professional that wants to grow with our new large primary care group! Our primary care practices have longstanding relationships with our patients and we are truly their medical home.

As the Operations Manager, you will manage the administration of the care center, including overseeing staff and jumping in to help the staff as needed :

  • Organize office operations and procedures, including process to ensure all patients receive preventive care services and follow-up visits
  • Oversee patient registration, eligibility and scheduling
  • Manage authorizations and referrals, and communicate with the payors and patients
  • Ensure front desk staff is collecting patient copays, coinsurance and deductibles and complete daily and weekly financial reconciliations
  • Help explain insurance coverage (EOBs) and patient balances to the patients when front desk needs support
  • Manage practice site and staff using data & KPIs
  • Help providers with their billing responsibilities in Athena EMR as may be needed
  • Serve as liaison with medical group's MSO and management team, and ensure that all programs, policies and compliance issues are implemented
  • Oversee the non-clinical staff, including scheduling, performance reviews, time and attendance and training (career development is important to us!)

We require :

  • 5+ years in management position : leading, coaching and overseeing performance of medical office staff
  • 10+ years of medical practice experience, with strong understanding of insurance and patient liabilities (copays, coinsurance, deductibles)
  • Bachelors Degree preferred but advanced experience may serve as a substitute
  • General billing and coding knowledge, and zest to stay abreast with changes and learn health insurance rules as they relate to primary care
  • Strong technology skills to succeed with a tech-driven practice, including ability to use Excel
  • Ability to quickly masterAthena EMR, billing software, managed care software
  • Strong organizational and leadership skills to be the calming force as we evolve and implement change
  • Demonstrated communication skills, oral and written
  • Experience on patient engagement and satisfaction approach - as a primary care group, its critically important
  • Successful experience implementing new processes, procedures, and services
  • Knowledge of OSHA, HIPAA and other regulations, state and federal, that oversee medical practices
  • Caring spirit that recognizes each patient as an individual, and through their actions and leadership let the patients know that the practice is their true medical home
  • Compassion and patience with people during times of illness and wellness with ability to build a patient-focused culture
  • Financial acumen and interest in growing a primary care practice
