The Accounts Supervisor reports directly to the Community Manager and plays a critical role in ensuring the accurate, timely, and efficient processing of resident accounts. This customer-facing position requires a high level of professionalism, attention to detail, and strong communication skills. The ideal candidate is organized, proactive, and customer-focused, with a solid understanding of rent collection processes and ledger management in a property management setting.
The Accounts Supervisor will play a key role in managing resident ledgers, processing subsidy payments, and ensuring compliance with affordable housing regulations across Heatherwood’s portfolio.
Your responsibilities will include :
- Process manual rent payment and review electronic transactions.
- Review and update new and renewal leases; manage third-party subsidy programs.
- Finalize billing for move-outs, including damage assessments and charges.
- Apply monthly late fees and manage security deposit escrow accounts and refunds.
- Research and resolve ledger discrepancies and payment variances.
- Perform account reconciliations and generate monthly unpaid charge reports for legal action.
- Provide technical support and guidance to residents on using the resident portal (RentCafe), including account setup and troubleshooting.
- Ensure compliance with local and state regulatory requirements.
- Collaborate with the legal team to initiate rent demands and collections processes.
- Provide walk-in assistance to residents regarding account or payment issues.
- Support the leasing team during high-traffic periods by assisting with the leasing process.
- Maintain high levels of resident satisfaction by resolving account concerns promptly and professionally.

Qualifications
Minimum 2–3 years of experience in property management, with a focus on accounts or rent processing.Experience with Yardi Voyager, RentCafe, and SuiteSpot strongly preferred.Familiarity with financial reporting and budget management is a plus.Proficient in Microsoft Office Suite (Word, Excel, Outlook).Excellent written and verbal communication skills.Strong organizational and time management skills.Detail-oriented with the ability to problem-solve independently.Bilingual proficiency is a plus.Notary Public license preferred.Bachelor's degree in a related field is required.Why Work With Heatherwood?
