The primary responsibilities for this critical position include :
Project Leadership & Traffic
Act as the hub for all work moving through the agency. Partner with leadership and brand managers to outline tasks, assign the right team members, and set clear schedules for every project.
System Ownership & Training
Manage our project management and time-tracking tools. Train the team, ensure accurate and timely entries, and keep our systems running smoothly.
Proactive Issue Solving
Keep a pulse on projects, spot roadblocks early, and adjust schedules or resources before issues impact deadlines.
Collaboration & Team Alignment
Guide the flow of work across departments with a supportive, solution-focused approach. Build trust, manage priorities, and negotiate timelines to keep everyone moving in the same direction.
Communication & Escalation
Ensure teams know what needs to be done, who’s doing it, and when it’s due. Flag risks early, escalate concerns when needed, and notify brand managers when client approvals or assets are required.
Process Improvement
Look for ways to make workflow, tools, and communication more efficient. Suggest improvements and help implement better systems over time.
Resource Management
Track capacity, anticipate outsourcing needs, and support estimates based on project briefings.
Requirements
Required Skills & Experience
This role requires a strong blend of agency experience, organizational rigor, and collaborative leadership.
Agency Experience (Minimum 2 years) : No less than 2 years of experience in a production management / traffic management or comparable role in an agency setting is required.
Marketing & Project Lifecycle Expertise : Strong knowledge of all production aspects related to the delivery of :
Software Proficiency : Highly proficient with Google Suite. Experience with implementation of project management software (such as Basecamp, Click Up). Ability to effectively evaluate and lead the implementation of relevant new technology tools.
Analytical & Forecasting Skills : Ability to identify and utilize relevant data to support effective estimating and forecasting for schedules, timelines, team member capacity, and project profitability.
Motivational Leadership : Must be experienced and effective at directing the work of others in a constructive and positive manner while ensuring that deadlines, production standards, and productivity standards are met.
