We are looking for a personable and detail-oriented Front Desk Coordinator to join our team in Palo Alto, California. In this role, you will serve as the first point of contact for clients and visitors, ensuring a welcoming and organized atmosphere. This position requires strong organizational skills, a proactive mindset, and the ability to effectively support day-to-day office operations. This is a long-term contract opportunity.
Responsibilities :
- Greet clients, vendors, and visitors with a warm and attentive demeanor.
- Coordinate the receipt and distribution of deliveries and packages.
- Assist the Office Manager with office-wide tasks and administrative support.
- Maintain and organize office supplies and oversee kitchen upkeep.
- Schedule and manage conference room bookings and calendars.
- Provide exceptional customer service to high-net-worth individuals and other stakeholders.
- Support ad hoc projects, including scanning documents and lifting items up to 25 lbs.
- Utilize Microsoft Outlook and Adobe software for administrative tasks.
- Foster positive relationships with the administrative staff and ensure smooth day-to-day operations.
- Uphold a friendly and productive work environment while managing multiple priorities.
- At least 1 year of experience in a front-facing role, such as receptionist or customer service.
- Proficiency in Microsoft Office applications, including Outlook.
- Strong organizational skills and attention to detail.
- Ability to manage multi-line phone systems and inbound calls efficiently.
- Comfortable working in an environment that requires attention to detail and interaction with high-net-worth individuals.
- Willingness to assist with various office tasks, including lifting boxes up to 25 lbs.
- Excellent interpersonal skills with a friendly and detail-oriented attitude.
- Familiarity with Adobe software is preferred but not required.
