Job description

Reporting to the Ensemble Program Manager, we are seeking a Ensemble Librarian who will manage the performance, and copyright librarian functions which support the Conservatory’s Large Ensemble programs and Dance : 5 orchestral large ensembles, 3 choral ensembles, 3 jazz ensembles, and all Composition Reading Groups.

The Ensemble Office manages the personnel, rehearsal, and performance activities of many of the Conservatory’s instrumental and vocal ensembles; administers the graduate orchestral conducting program; provides instrument loans and rentals to ensemble participants and music education students; and maintains the Ensemble Library, supervising the distribution of library materials in support of ensemble activities, main stage and chamber opera productions, and conducting recitals. The Ensemble Library is a non-circulating collection.

Peabody’s ensembles are designed to acquaint students and the general public with the rich and varied literature of many musical genres. They provide participants with the means, through rigorous rehearsals and frequent public performances, of developing their musical skills to a high level of artistic competence, and also represent a considerable and significant portion of Peabody’s contribution to the cultural life of the surrounding community.

The Peabody Institute of the Johns Hopkins University advances a dynamic, 21st-century model of performing arts training in pursuit of its mission : to elevate the human experience through leadership at the intersection of art and education. Through its Conservatory for undergraduate and graduate studies and the Preparatory, Baltimore’s largest community performing arts school, Peabody empowers musicians and dancers from diverse backgrounds to create and perform at the highest level.

Specific Duties & Responsibilities

Oversees and manages all aspects of the Ensemble Library. The Ensemble Library is a non-circulating collection with a budget of $43,000.

Maintains the Large Ensemble and Conductors’ Orchestra Library, supervising the distribution of library materials and music in support of ensemble activities, main stage and chamber opera productions, conducting recitals, jazz, chorus and dance.

Works with the conductors of each large ensemble, the Ensemble Librarian is responsible for appropriate musical rentals and purchases. Ensures that parts are ordered, ready, paid for, collected, returned, and within budget.

Works with vendors to secure, negotiate and arrange the purchase, or borrowing, of materials, ensuring licensing, rental, and copyright compliance to meet program needs.

Manages the music rental and instrument budget.

Secures, prepares, organizes, distributes and collects all performance materials for all ensembles : orchestra, choral, and jazz. Oversees the preparation of all the music materials for performances; oversees production and distribution of practice part materials.

Manages a team of Ensemble Library student Interns to ensure that all musical markings and bowings have been transferred to every part in advance of the need for distribution.

Creates the Large Ensemble audition and placement materials for orchestral, jazz and choral ensembles based on the season repertoire and selections of the Conservatory faculty.

Participates in concert duty staff rotations, overseeing student attendance and retrieval of parts and scores following a performance and serving as an Event Manager for assigned ensemble performances to ensure proper event advancement.

Special Knowledge, Skills & Abilities

Comprehensive knowledge of performance practices, musical terminology, foreign languages, music theory, orchestration, transposition, and repertoire

Familiarity with music publishing, licensing, and copyright laws.

Library research skills and understanding of standard reference resources.

Extraordinary attention to detail and strong organizational skills, including the ability to handle multiple tasks simultaneously and consistently meet deadlines.

Ability to build a strong relationship with and work successfully with faculty, staff, and students in a highly demanding and fast-paced environment.

Good customer service skills as well as verbal and written communication skills.

Ability to work occasional evenings and weekends per the rehearsal and concert schedule.

Minimum Qualifications

Bachelor's Degree in Music.

Two years orchestral music library experience.

Additional education may substitute for experience to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula : 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
