Job Description
Payroll Manager
- Serve as the Secondary Contact for employee / plan vendors / corporate office and third-party administrators
- Coordinate daily benefits and employment processing to ensure compliance through timely and accurate reporting and maintenance of employee and benefit records
- Maintain knowledge of the most current employment and benefits functions through ongoing training and participation in required office trainings and corporate communications
- Manage and report on all benefit plans and programs sponsored by JWD and Quanta for non-bargaining employees
- Go-to person for all payroll tax related matters
- Establish and maintain a new employee onboarding program in conjunction with other department needs and requirements
- Reporting and special projects as needed
- Be go to person for General Foreman in the field and help them with payroll related inquiries
- Assist in Managing and Backing Up of Payroll Clerk Tasks
Specific Responsibilities of the Payroll Clerks
Data entry of timecardsObtain weekly timecards for man hours and equipment hours for assigned crewsReview data provided and either prepare for upload to Foundation or manually key hour information into FoundationBalance Foundation upload reports to Excel upload file and resolve any differencesEffective Communication with Field PersonnelMust communicate by phone or email to general foreman (GF) regarding weekly timesheet submission, hours reported, missing hours, missing timesheets, questions related to issues on timesheets, etc.Must be knowledgeable of the crew roster and the information expected to be submitted for each crew in order to obtain accurate information from the GFWork in a cooperative and helpful manner with the field to facilitate information sharing and make the timecard process easy for the field to comply withReconciliation and Timely Resolution of DiscrepanciesActively participate in roundtable review of payroll runsWork with company and customer representatives to communicate and reconcile payroll and equipment hours accurately and timelyIdentify any payroll entry that appears inaccurateReview hours paid and agree to hours reported for each crew / field personnelPreparation and Distribution of PaychecksPrepare overnight packages to be sent to jobsitesElectronically save paycheck detail to GF’s for distribution to employeesPrepare child support and garnishment packagesSave payroll information to shared drive for access by other departmentsSupport Payroll DepartmentProvide support to payroll department team where neededPrepare time-cards templates for jobs as neededSupport / Back-up New Hire ProcessAvailable during non-business hours when JWD is on stormOffer suggestions for process improvement or cost savings opportunitiesRequired Skills
