Job description

Position Summary :

The Pet Shelter Director provides leadership and direction for all shelter staff and oversees the daily operations of the shelter, including animal care, shelter cleanliness, vet appointments, pet parent support, and coordination of care while exiting the shelter. This position requires a strong focus on excellent customer service, trauma-informed awareness, and best practices in animal welfare.  This role is also responsible for the accuracy and maintenance of all pet shelter data and records.

The shelter operates 24 hours per day, 7 days per week. A minimum of 40 hours per week, primarily scheduled Monday through Friday during regular business hours. Flexibility is needed to meet the ongoing needs of the shelter, including occasional overnight and day hours, as well as periodic on-call rotation and some holidays.

Relationships and Contacts :

Within the organization : This role reports directly to the VP of DVS. The Pet Shelter Director must maintain a strong working relationship with the VP of DVS, the Pet Shelter Staff, the staff of the DVC, the Director of Community Engagement, and the Grants / Evaluation Team.

Outside the organization : The position maintains frequent and close working relationships with clients of the DVC and partners of the YWCA Pet Shelter including but not limited to veterinary staff, animal care Groups, pet fosters, vendors and the general community.

Essential Responsibilities :

  • Develops Pet Shelter / staff operating procedures and protocols; implements policies and procedures approved by the VP of DVS; ensures that policies and procedures are followed; updates policies and procedures as needed.
  • Direct care of onsite pets when needed, including enrichment activities, cleaning kennels, and feeding and watering pets.
  • Act as the primary escalation point for staff, addressing challenges and ensuring safe practices.
  • Ensures that the facility and its furnishings are maintained in a clean and organized manner and are in good working condition.
  • Ensures that all animal health and vaccination records are up to date. Records and reports any health and / or safety issues as outlined in the Pet Shelter Operations Manual.
  • Hires and trains Pet Shelter staff in accordance with YWCA policies and procedures.
  • Supervises Pet Shelter staff, leading by example and providing guidance, direction, and oversight.
  • Maintains records as defined by law and YWCA policies.
  • Ensures the accuracy of all forms, documents, and records.
  • Enters and tracks data in ETO.
  • Leads strategic planning activities for the Pet Shelter.
  • Develops annual operating and capex budgets.
  • Monitors monthly budget vs. actual financial reports and discusses significant variances or trends with the VP of DVS.
  • Develops and maintains vendor relationships essential for the operation of the Pet Shelter.
  • Working with YWCA facility support staff, resolves any facilities-related issues, including but not limited to contacting appropriate vendors and coordinating vendor site visits.o   Maintain inventory of Pet Shelter operating supplies and work closely with the Director of Community Engagement to maintain the Pet Shelter Wish List.
  • Coordinates with DV client advocates as needed to ensure that care of the clients and their pet(s) is managed consistent with the standards of the Weaver Domestic Violence Center.
  • Ensure that staff coverage for the Pet Shelter is maintained per the then-current schedule to include arranging for coverage in the absence or availability of Pet Shelter staff.
  • Additional Responsibilities :

  • Provides information and assistance to pet parents as necessary or requested.
  • Promotes relationships with other local and national nonprofit and animal welfare organizations. Update educational materials (e.g., DV101) with pet shelter content.
  • Schedule appointments and assist with transporting animals for care, as necessary.
  • Ensures appropriate training and development for department staff and applicable volunteers.
  • Perform other duties as assigned.
  • Minimum Requirements :

    Education and Experience :

  • Position requires a high school diploma (or equivalent) and a minimum of three years of successful management of either a licensed Pet Kennel / Animal Care Clinic or a 501C3 Pet Shelter / Rescue Organization.
  • Management must include the direct care of animals, supervision of staff, and maintenance of records.
  • Nonprofit experience preferred.
  • Conversational Spanish is a plus but not required.
  • Proficiency in working with Microsoft Office Suite is required.
  • Physical Requirements :

  • Must be able to lift up to 50 lbs.
  • Must be able to sustain long periods of walking, bending, standing, or reaching.
  • Other Requirements :

  • Valid driver’s license, vehicle insurance and a clear driving record for the last three years.
  • Must have strong skills in animal health, behavior, and handling.
  • Ability to work a rotating on call schedule that includes late nights and weekends.
  • Must be comfortable in a fast-paced, emotionally charged environment and can handle the challenges of working in a shelter.
