About the Role
As Lead Receptionist / HR Coordinator , you will be the primary front-desk representative for residents, families, visitors, and vendors while also supporting key human resources administrative functions. This role is central to creating a positive first impression, maintaining an organized and responsive reception environment, and assisting HR with onboarding, personnel files, communications, and day-to-day coordination. You will work closely with multiple departments and contribute to a cohesive, resident-focused community on campus.
Key Responsibilities
Greet, welcome, and assist residents, visitors, families, and vendors in a friendly and professional manner.
Manage reception desk operations, including answering and directing incoming calls, emails, and correspondence.
Coordinate with maintenance, dining, life enrichment, and nursing departments to route inquiries and support requests efficiently.
Maintain a tidy and well-organized front desk area, lobby, and waiting spaces, ensuring clear signage, directories, and information materials.
Assist with HR tasks including maintaining personnel files, managing onboarding paperwork, supporting benefits coordination, and tracking compliance.
Help schedule interviews, prepare HR communications, and respond to employee HR-related inquiries.
Support attendance tracking, update and file HR forms, and assist with employee orientation, training logistics, and staff event coordination.
Uphold strict confidentiality regarding employee and resident information.
Requirements
More than 1 year of experience in a reception, administrative, or HR support role, including some HR-related responsibilities listed above; OR a combined blend of relevant education and experience.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort using or learning new systems such as HRIS platforms, scheduling tools, or visitor-logging software.
Familiarity or demonstrated interest in HR processes including onboarding, benefits coordination, records management, and basic employee relations.
Experience in senior living, assisted living, or memory-care communities preferred.
