Executive Assistant
As an Executive Assistant, you will report to the Manager of Administrative Services supporting the Corporate Functions for Grainger and provide administrative support to the VP of Inventory & Supplier Performance Management and their leadership team.
You will manage responsibilities with a high degree of responsiveness. You will :
Manage the business leaders' time through strategic and proactive calendar management and scheduling. Responsibilities may include managing invites, coordinating presentation content and handouts, recording meeting notes, action items, audio, scheduling and launching online content, facilitating online questions from attendees during meetings, troubleshooting technical and logistical issues, and organizing follow-up activities.
Be a partner to the business leader by anticipating challenges and driving recommendations for solutions and process improvements.
Create team meeting agendas and facilitate meeting logistics, including ensuring that meetings are kept on track.
Manage business travel logistics and ensure the leader has the necessary documentation for travel (domestic and international).
Manage multiple electronic documents including composing, modifying, proofreading, or disseminating items such as : memos, reports, PowerPoint presentations, department site updates, surveys, organizational charts, or records management.
Co-manage department's Teams and SharePoint sites.
Maintain department supplies and manage associated budget; may own other department specific processes or activities.
Participate in relevant department projects.
Support the onboarding and departure process for department team members.
Play a key role within the Administrative Services team including onboarding and providing backup support for other administrative business partners.
Be flexible and adapt to evolving business needs. The individuals or teams you support may change over time as the company's priorities and objectives shift. Successful candidates will demonstrate a proactive approach to managing these transitions and collaborating with different departments or leadership as needed.
Follow all current guidance with regard to in-office minimum requirements, ensuring you are in the office when the business leaders you support are in the office and / or when business needs require in-office presence. Occasionally work overtime depending on business need and evolving priorities.
You have :
7+ years of experience supporting senior management or C-Suite leaders.
An anticipatory approach, experience managing complex administrative details, and experience in determining best approach / action to use in non-routine situations.
Worked with detailed knowledge of business operations, organizations and relationships involved at top management levels.
Gained a thoughtful understanding of the department and appropriate Company policies, procedures, and operations.
3+ years of experience improving operational efficiency.
