Job Description : Position Summary :
The Records Specialist will play a key role in supporting the organization's shift from physical to digital records. This position is responsible for the back-scanning, digitization, and cataloging of employee files, ensuring all records are accurately processed and stored in compliance with internal standards and legal regulations. The role enhances the accessibility, organization, and security of employee records across the business.
Key Responsibilities :
- Review and section employee files according to internal taxonomy and retention schedules.
- Prepare physical and existing digital records for scanning and upload to the electronic data management system.
- Operate multi-function device (MFD) scanners to digitize physical records, following indexing and taxonomy guidelines.
- Identify and manually process any documents rejected during OCR (optical character recognition).
- Conduct regular audits to verify accuracy, indexing, and compliance of stored files.
- Maintain high standards for data integrity, confidentiality, and accuracy
- Generate reports and provide updates on project progress, timelines, and file counts.
- High school diploma or equivalent (associate or bachelor's degree in a related field preferred).
- Minimum of 2 years' experience in records management, document scanning, or a similar administrative role.
- Proven ability to manage and protect confidential and sensitive information
- Familiarity with records retention schedules , document handling procedures, and compliance practices.
- Proficiency with records management software and scanning equipment
- Strong organizational and time management skills with excellent attention to detail.
- Comfortable working independently and collaborating with internal stakeholders.
- Effective written and verbal communication skills.
