The Prince George's County Health Department is currently seeking qualified applicants to fill an Administrative Aide (Administrative Aide II) grade A 15 position, in the Behavioral Health Division.
This is a full performance level secretarial / administrative type work designed to relieve an important official of administrative detail. Under general supervision, incumbents perform varied and responsible secretarial and administrative work often of a technical nature and difficulty. Incumbents typically determine appropriate steps to independently complete assignments according to established procedures, referring to the supervisor when necessary. Incumbents may perform routine office management duties and provide technical guidance to subordinate employees. Work requires a broad knowledge of County government functions, programs, and sources to receive and provide information or make referrals relating to the programs of the assigned department / agency. Incumbents at this level report to an administrative supervisor (generally grades G-24-G27). Work performance is evaluated in terms of accuracy and timely completion of projects and assignments.

The PGCHD works to protect and support the public's health through numerous services that range from restaurant inspections and disease tracking to care coordination and health promotion. The department is composed of four divisions : Behavioral Health Services, Environmental Health and Disease Control, Family Health Services, and Health and Wellness, supported by the Office of Administration, Office of Human Resources and the Office of the Health Officer. The mandate of the department has been, and will remain, broad. This plan emphasizes improving core functions and operations, including protecting the public from health threats, implementing strategies to support healthy living, and maintaining a focus on vulnerable populations, while developing efficient internal processes to support these activities.
Provides administrative support to the Community Case Management program and Community Engagement and Cross-Sector Collaboration.
Effectively manages confidentiality and boundaries according to Federal and State regulations and agency policies.
Schedules work orders, service calls, and other activities for program / departmental employees; tracks these projects and follow-up until completion.
Orders and maintains inventory of office and other departmental supplies and equipment, and tracks expenditures; ensures operations of office equipment through county or contracted maintenance services.
Utilizes computer software to type, proofread, and edit correspondences, reports, forms, and letters from rough draft or verbal instruction.
Answers telephone in a manner that provides the caller with clear and accurate information in a helpful voice tone.
Compiles monthly data for statistical data for statistical reports as assigned.
Ensures data is accurate and submitted in a timely manner.
Maintains an appointment calendar and schedules appointments for the supervisor, and for professional staff when required.
Plans, develops, organizes and implements methods and procedures for day-to-day office operations.
Notifies appropriate individuals about schedules meetings, provides participants with necessary information and materials, and prepares agenda.
Organizes, coordinates, and disseminates both physical and online information to County employees, citizens, civic groups, government officials, and others. Attends staff and other meetings as assigned and takes notes and prepares minutes for supervisory review and approval. Disseminates minutes as directed by supervisor.
