Administrative Support Supervisor

Job Summary

Responsible to oversee and coordinate administrative support services to ensure the smooth operation of healthcare facilities or departments. Supervise a team of administrative staff, provide guidance and support, and ensure that administrative tasks are completed accurately and efficiently.

Essential Functions

  • Supervise and provide guidance to a team of administrative support staff, including administrative assistants, receptionists, and clerical personnel.
  • Assign tasks, set priorities, and monitor work progress to ensure timely and accurate completion of administrative duties.
  • Conduct regular performance evaluations, provide feedback, and offer opportunities for professional development and training.
  • Oversee day-to-day administrative operations, ensuring that administrative tasks are carried out efficiently and in accordance with organizational policies and procedures.
  • Establish and maintain effective systems, processes, and workflows to optimize administrative functions.
  • Identify areas for improvement and implement solutions to enhance administrative efficiency and effectiveness.

Qualifications

Education : High School Diploma or Equivalent required and Associate's Degree Health Administration preferred. Can this role accept experience in lieu of a degree? No

Licenses and Credentials : Experience in administrative support roles, preferably in a healthcare setting. 3-5 years required and Experience in a supervisory or leadership role 1-2 years preferred.

Knowledge, Skills and Abilities :

  • Proficient in the use of office productivity software, such as Microsoft Office (Word, Excel, PowerPoint) and email systems.
  • Strong organizational and time management skills, with the ability to multitask and prioritize workload effectively.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
  • Attention to detail and accuracy in completing administrative tasks.
  • Knowledge of privacy and confidentiality regulations, such as HIPAA.
