Insurance Support Specialist

You will provide administrative support to the Marketing and Risk Management Director.

Provide administrative support to the Marketing and Risk Management Director, maintaining confidentiality and following through on assigned tasks.Assist with managing email and voicemail communications, drafting simple responses, following up on pending items, and flagging urgent mattersHelp coordinate scheduling and calendar updates, prepare basic meeting materials, and track follow-up itemsAttend selected meetings to take notes, summarize discussion points, and record action items in Asana or other tracking toolsTrack and follow up on pending communications, marketing needs, and other time-sensitive tasksConduct basic research on products, insurance carriers, and industry topics; compile and share summariesPrepare and maintain weekly marketing workload reports, carrier performance reports, and other tracking documentsCoordinate with outside vendors, carriers, and partners to gather information, schedule meetings, and follow up as neededPerform occasional reception duties such as routing phone calls, greeting visitors, and managing lobby activity.Assist with mail processing, supply ordering, maintaining common areas, and escalating facility needs.Complete other Administrative functions to support department needsQualifications
Comfortable with Microsoft Office Suite (Outlook, Word, PowerPoint) and proficiency in Excel using basic formulas and formattingEager to learn new tools and systems, including project management software such as AsanaFamiliarity with organizing information, tracking tasks, and preparing simple reportsPrior administrative or office experience is helpful but not required
