Erwin Forrest Builders is seeking a detail-oriented, proactive, and tech-savvy Pre-Construction Assistant to support our Director of Planning & Estimating and play a critical role in our estimating and pre-construction operations. This position is ideal for someone who thrives on organization, follow-through, and process improvement, and who wants to grow alongside a company intentionally evolving its systems and workflows as it continues to grow as the Lehigh Valley's premier residential construction and renovation firm.

This is a full-time, in-office role based in Center Valley, PA, with standard business hours.

What you'll do

In this role, you'll be the glue that holds everything together supporting the full pre-construction lifecycle by keeping documentation, communication, and workflows moving efficiently. Day to day, you'll:

• Manage project documentation, plans, permits, contracts, and filing systems to keep workflows organized and on track.
• Enter and maintain accurate job information and files in Buildertrend.
• Request, organize, and follow up on trade quotes, RFIs, bid specifications, and outstanding items.
• Prepare and track permit applications, consistently following up with townships to prevent delays.
• Support contract preparation, e-signature workflows, and documentation processes.
• Attend meetings, take notes, track action items, and ensure timely follow-through.
• Be the point of coordination between trades, designers, engineers, clients, and internal teams.
• Assist with client meetings related to pre-construction planning and budgeting.
• Contribute to estimating tasks and process improvements as skills develop.
• Identify and implement opportunities to improve efficiency using technology and AI tools.
• Provide general administrative support and occasional local permit drop-offs as needed.
