We are looking for a dedicated and meticulous Client Services Administrator to join our team in San Diego, California. This Contract to Permanent position plays a vital role in ensuring exceptional client experiences and supporting operational efficiency. You will collaborate with advisors, handle client documentation, and provide outstanding service to high-net-worth individuals, business owners, and other clients.

Responsibilities :

  • Handle client account documentation, including transfers, distributions, and updates, ensuring precision and attention to detail.
  • Keep client records organized and ensure information in company systems is current.
  • Liaise with custodians to promptly resolve any service or account issues.
  • Prepare materials for client meetings, communications, and mailings.
  • Oversee office supplies, vendor interactions, and general office appearance to maintain a professional and inviting environment.
  • Act as the initial point of contact for clients visiting the office, providing a courteous and detail-focused experience.
  • Assist advisors by collecting and organizing financial information for client accounts.
  • Support financial planning initiatives and perform investment research as required.
  • Compile performance reports and reconcile data to maintain accuracy.
  • Draft correspondence and documentation for client interactions.
  • Strong customer service skills with a client-focused approach.
  • Exceptional organizational abilities and keen attention to detail.
  • Effective communication and problem-solving skills.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Ability to handle multiple priorities and maintain professionalism under pressure.
  • Bachelor's degree preferred, though a High School Diploma or Associate’s Degree with relevant experience is acceptable.
  • Minimum of 3 years of experience in administrative support within an investment environment.
